How to Add Rows and Columns in Zoho Analytics

Adding Rows and Columns in Zoho Analytics Tables

Zoho Analytics tables work much like spreadsheets, allowing you to add, edit, and remove rows and columns at any time. This guide covers the key operations for managing table data directly within the platform.

Adding Rows

Users with Write permissions can add new rows in two ways:

  • Click Add in the toolbar and select Add Row, or right-click any cell and choose Add > Add Row.
  • Scroll to the bottom of the table and enter data in the row marked with an asterisk (*).

Use the Tab key or arrow keys to move between cells, and press F2 or double-click a cell to enter edit mode. Click Save when you have finished entering data.

Editing Existing Rows

Press F2 or double-click the cell you want to change to enter edit mode, update the value, then click Save to confirm the change.

Deleting Rows

Select the row by clicking its row header, then choose Delete > Delete Row(s) from the toolbar. Hold Shift and click to select multiple consecutive rows. Use Delete > Delete All Rows to clear the entire table. You can also press Delete (Mac) or Backspace (Windows) after selecting a row.

Note: Deleted rows cannot be recovered. There is no undo option for row deletions in Zoho Analytics tables.

Adding Standard Columns

  1. Open the table. Navigate to the table where you want to add a column.
  2. Click Add > Add Column. The column configuration dialogue opens.
  3. Configure the column. Enter a name, choose a data type, and optionally mark it as containing personal data.
  4. Click Save. The new column appears on the right side of the table.

Adding Lookup Columns

Lookup columns create relationships between tables, similar to foreign keys in a relational database. They allow users to select values from a related table when entering data.

  1. Click Add > Add Lookup Column.
  2. Enter a column name.
  3. Select the referenced column from another table in the workspace.
  4. Click OK. The column is created with a dropdown that pulls values from the linked table.

Deleting Columns

Select the column and choose Delete > Delete Column(s). Columns that are used in reports, formula columns, query tables, or lookup relationships cannot be deleted until those dependencies are removed first.

Changing a Column's Data Type

Right-click a column header and select Change Data Type, then pick the new type from the dropdown. This action is blocked if the column has dependent reports or lookup relationships that rely on its current type.
