Zoho Analytics lets you add users to your organization in several different ways depending on your workflow. However you invite someone, they must accept the invitation before they gain access; an unaccepted invite means the organization simply won't appear in their own account.
The user receives an invitation email to accept or decline. If they're new to Zoho Analytics, accepting takes them through account sign-up first; once signed up, they're added to the organization automatically and taken to its home page.
If you have Workspace Admin access or above on a specific workspace, you can invite users directly into it.
The recipient gets an invitation to join the organization, plus a separate email with the link to the shared view specifically. If they click the view link before accepting the organisation invite, they're shown an intermediate screen prompting them to join first.
Groups help manage user access at scale, letting you share content with everyone in a group at once rather than user by user.
If the person isn't already part of your organisation, they first receive an invitation to join. Once accepted, they're added to the group and gain access to everything shared with that group.
Whichever route you invite someone through, Organization Settings, Workspace Settings, Groups, or sharing a view, a Pending label appears next to their name until they accept or decline.
