What App-Specific Documentation Covers

Each application in the Zoho Flow library has its own documentation page that explains the following:

  • Available triggers: The events within the app that can start a flow, such as a new record being created or a status changing.
  • Available actions: The tasks Zoho Flow can perform within the app as part of an automated workflow, such as creating a contact, sending an email, or updating a record.
  • Connection method: Details on how to authenticate and connect your account, including OAuth, API key, or username and password methods.
  • Required permissions: Any specific access levels or scopes needed within the third-party app to allow Zoho Flow to function correctly.
  • Field mapping guidance: Explanations of the input fields available when configuring triggers and actions, including which are mandatory and which are optional.

How to Find App-Specific Documentation

You can access app-specific documentation in two ways:

  1. From the Flow builder. When adding a trigger or action to a flow, click the app name to open a side panel containing relevant documentation and available options.
  2. From the Zoho Flow Help Centre. Navigate to the App-Specific Documentation section within the User Guide to browse or search for any supported app by name.

Understanding Triggers and Actions

Not all apps support both triggers and actions. Some apps are action-only (meaning they can receive instructions from a flow but cannot initiate one), while others support both. The documentation for each app clearly states which capabilities are available.

Trigger Types

  • Instant triggers: Fire in real time via a webhook when an event occurs in the connected app.
  • Scheduled triggers: Poll the connected app at a defined interval to check for new or updated records.

Action Capabilities

Actions range from simple tasks such as sending a notification to more complex operations like creating or updating records with data passed from earlier steps in the flow. The documentation explains each action's input requirements and expected output data.

Zoho App Integrations

Zoho's own suite of products — including Zoho CRM, Zoho Desk, Zoho Books, Zoho Projects, and many others — have particularly deep integration support within Zoho Flow. These apps often expose a wider range of triggers and actions compared to third-party applications, and connection is simplified through your existing Zoho account.

Third-Party App Integrations

For third-party applications, the connection process varies. Most use OAuth 2.0, which means you will be redirected to log in and authorise access within the third-party platform. Others require an API key or access token generated from within the app's settings. The documentation for each app explains exactly which method to use and where to find the necessary credentials.

Note: Connection details such as API keys and tokens are stored securely and encrypted within Zoho Flow. You do not need to re-enter them each time you create a new flow using the same app.

Requesting New App Integrations

If an application you need is not currently listed in Zoho Flow's library, you can submit a request via the Zoho Flow community or contact Zoho support. Alternatively, apps that expose a REST API can often be connected using Zoho Flow's custom webhook and HTTP request features.
