Auto Number Fields in Zoho CRM: The Complete In-Depth Guide

This guide goes into full technical detail on Auto Number fields in Zoho CRM: how to add and configure one, how prefixes, suffixes and merge fields behave, what happens when you apply numbering to records that already exist, how the field can take over as a custom module's record name, and why gaps in a numbering sequence are nothing to worry about.

Adding an Auto Number field to a module

  1. Go to the module's customisation screen. From Setup, open Customisation, then Modules and Fields, and pick the module you want to work on.
  2. Place the field on the layout. In the panel of available field types, find Auto Number and drag it onto the layout where you want it to sit.
  3. Configure the numbering. Set a prefix, a suffix, and the number the sequence should start from. As each part is adjusted, a preview shows exactly how the finished value will appear, hyphens, spacing and all.
  4. Decide whether to number existing records too. There is an option to apply the new field retroactively, which assigns numbers to every record already sitting in the module rather than only ones created afterwards.

Prefixes, suffixes and merge fields

A prefix sits before the running number and a suffix sits after it, and either can be plain text, a merge field, or a mix of both. The merge field option is picked using the # symbol, and it lets something dynamic, such as the current month or year, be woven directly into the value. This is what allows a reference such as INV-2026-001 to exist, where INV- is fixed text, 2026 is a merge field for the year, and 001 is the sequence itself. Because the year comes from a merge field rather than being typed in, it moves forward on its own as time passes, with no manual edit required to the field's configuration.

Retroactive numbering explained

When Auto Number is added to a module that already holds records, those existing records do not automatically have a value unless the retroactive option is ticked. Selecting it means the whole existing dataset is brought up to date in one pass, with older records numbered as if the field had been there from the start. This is particularly useful when a business is only just formalising a numbering scheme after operating without one for some time.

Using Auto Number as a custom module's record name

Every custom module needs a record name field, and Zoho CRM sets this to a mandatory Single Line text field by default. Some teams prefer not to have to type a name for every record, especially where the record is really only ever going to be referred to by a code or number anyway. In that situation, the default Name field can be switched to Auto Number instead of Single Line.

Note: This switch is only possible while the custom module is first being created. Hover over the default Name field, choose Edit Properties, and select Auto-number in place of Single Line at that stage. Once the module has been created with a Single Line record name, it cannot later be changed to Auto Number.

Why gaps in the sequence are normal

An Auto Number value should be treated as an identifier, not as a live count of how many records exist in the module. If a record somewhere in the middle of the sequence is deleted, the records around it keep the numbers they were already given, they are not shifted along to close the gap. Seeing a break in the sequence, therefore, does not indicate a fault or missing data, it is simply the expected result of a record having been removed at some point.
