Automations in Zoho One allow administrators to reduce manual effort by configuring rules and workflows that act on events or conditions within the platform. Rather than completing repetitive administrative tasks by hand, Zoho One can respond automatically to changes in user data, trigger actions across applications, and keep provisioning consistent without requiring constant administrator intervention.
What You Can Automate in Zoho One
Automations in Zoho One operate at the organisational and user management level, helping administrators maintain consistency across the platform without manual oversight of each change.
- Conditional user provisioning: Automatically assign applications and groups to users based on their attributes, such as department, job title, or location, without needing to configure each user individually.
- Onboarding workflows: Trigger a sequence of actions when a new user is created, such as sending welcome emails, assigning them to relevant groups, and provisioning the correct set of applications.
- Offboarding actions: When a user is deactivated, automation rules can remove their application access, revoke group membership, and notify relevant administrators or team leads.
- Scheduled tasks: Run recurring administrative tasks on a defined schedule, such as reviewing inactive accounts or generating compliance reports.
- Cross-application triggers: Use Zoho Flow, which is included in Zoho One, to set up automations that span multiple Zoho applications or connect with external services when an event occurs in one part of the platform.
Setting Up Automations in the Admin Panel
Administrators configure Zoho One automations from within the Admin Panel. The setup process varies depending on the type of automation being created.
- Open the Admin Panel. Sign in to Zoho One and navigate to the Admin Panel from the home screen.
- Go to the relevant section. For user provisioning automations, these are typically found within the Users or Applications sections. For broader workflow automations, navigate to the Automations or Integrations section depending on the Admin Panel layout.
- Create a new rule. Define the trigger condition, such as a new user being created or a user attribute changing, and specify the actions that should follow.
- Set conditions and filters. Apply conditions to ensure the automation only fires for the correct users or circumstances, for example only triggering for users in a specific department.
- Save and activate. Review the rule configuration and activate it. Test with a sample user or event where possible before relying on the automation in production.
Zoho Flow: Cross-Application Automation
Zoho Flow is Zoho's dedicated integration and automation platform, included within Zoho One. It provides a visual, no-code interface for building workflows that connect different Zoho applications and external services. For example, you could build a flow that creates a Zoho Desk ticket whenever a specific deal stage is reached in Zoho CRM, or sends a Cliq notification when a new subscriber is added in Zoho Subscriptions. Zoho Flow extends automation capabilities far beyond what is available through the standard Admin Panel, making it a powerful tool for eliminating manual handoffs between teams.
Note: Automations within individual applications, such as workflow rules in Zoho CRM or automation in Zoho Desk, are configured within those applications separately from the Zoho One Admin Panel automations.
