Building a flow in Zoho Flow is the core activity of the platform. Whether you are starting from scratch with a custom automation or selecting a pre-built template from the gallery, the workflow builder provides a visual, drag-and-drop interface that guides you through connecting applications, defining triggers, and configuring actions step by step.

Two Ways to Build a Flow

Zoho Flow gives you two starting points when creating a new automation:

• From scratch: Design your own flow from the ground up, choosing your own trigger app, trigger event, and the sequence of actions that follow.
• From the gallery: Browse a library of pre-built flow templates for common integrations, then customise the template to suit your specific requirements.

Creating a Flow from Scratch

1. Go to My Flows. From the Zoho Flow dashboard, navigate to the My Flows section.
2. Click Create Flow. Select the Create Flow button in the top-right corner of the screen. You can also use the "+" button on the left panel to start a new flow quickly.
3. Name your flow. Enter a descriptive name for the flow so that it is easy to identify in your dashboard later.
4. Choose a trigger. Select the application and the specific event that will start the flow. This is the condition that, when met, initiates the entire automation.
5. Add actions. After the trigger, add one or more action steps. Each action defines what the flow does in response to the trigger event, such as creating a record, sending a notification, or updating a field in another app.
6. Configure and map data. For each action step, configure the required fields and map data from earlier steps using dynamic variables.
7. Test and activate. Use the test feature to run a trial execution of the flow, verify the output at each step, then switch the flow on to make it live.

Creating a Flow from the Gallery

1. Open the gallery. In the My Flows section, click Explore Gallery in the top bar to browse available templates.
2. Find a suitable template. Browse the Featured Flows or search by app name or use case. Each template shows the apps it connects and a brief description of what it automates.
3. Select and use the template. Click on the template to preview it, then click Use this Flow to open it in the builder.
4. Connect your accounts. Authenticate each app used in the template by connecting your account credentials.
5. Customise as needed. Adjust field mappings, filters, or logic to match your specific business requirements, then test and activate the flow.

The Workflow Builder Interface

The Zoho Flow workflow builder is a visual canvas where you construct and configure your automation. The toolbar, located in the top-right corner of the builder, provides tools that help you navigate, organise, and test flows more efficiently. Key builder features include:

• Add step: Insert a new trigger, action, or logic element at any point in the flow.
• Zoom and pan: Navigate around larger, more complex flows with zoom controls and drag-to-pan functionality.
• Test runner: Execute a test run of the flow directly from the builder to verify each step before going live.
• Flow history: Access recent execution logs from within the builder to review past runs and diagnose issues.

Understanding Data Mapping

Data mapping is the process of using output variables from a trigger or earlier action step as input values for subsequent steps in the flow. When you configure an action, you will see a variable picker that displays all the data fields available from previous steps. Selecting one of these variables tells Zoho Flow to pass that specific value from an earlier step into the current one at the point of execution.

For example, if your trigger retrieves a new contact record from Zoho CRM, you can map the contact's name, email address, and phone number as variables into an action that creates a ticket in Zoho Desk. This creates a consistent, automated flow of data between your applications without any manual re-entry.

Testing Your Flow

Before activating a flow, it is strongly recommended that you run a test. The test feature executes the flow using real or sample data so you can verify that each step behaves as expected. If any step fails during a test, Zoho Flow shows you the error and the point at which it occurred, making it straightforward to diagnose and resolve the issue before the flow goes live.
