Choosing an AI Model for Zoho Flow: ChatGPT, Claude, Gemini and More

Choosing an AI Model for Your Zoho Flow Workflows

An AI tool that sits outside your other systems leaves a manual step in the middle of every process: copy the support ticket, paste it into a chatbot, wait, then pass the answer on by hand. Connecting AI models into Zoho Flow removes that step, so the same ticket can be summarised, analysed, and routed without anyone touching it. The practical question is which model to put at which step. This guide summarises Zoho's own comparison of the main options and how each connects to Zoho Flow.

Read this as Zoho's assessment, not a benchmark. The comparison comes from a Zoho Flow blog post dated 30 June 2026. The strengths and weaknesses it describes are Zoho's general view, not test results, and AI models change quickly with each release. Treat it as a starting point and test candidate models on your own prompts and volumes before committing a workflow to one.

Pick the Model by the Task

Zoho's core advice is to choose by what the step needs to do, rather than defaulting to a favourite for everything.

Three Questions Worth Asking First

  1. Where is the data going? With the external models, the data in the step is sent to that provider for processing. Zoho states that Zia actions run on Zoho's own servers, that the data isn't used to train any model, and that you can revoke access at any time. For customer, financial, or other sensitive records, this is often the deciding factor.
  2. How often will the step run? A step that runs thousands of times a day behaves very differently, in cost terms, from one that runs a few times a week. Zoho points to simple, well-defined, high-volume work such as tagging or sorting as the place a cheaper model earns its keep.
  3. Who reads the output? Text that goes straight to a customer deserves a stronger model and a human-quality tone check. Output that only feeds the next automated step can usually tolerate something simpler.

Using More Than One Model in a Single Flow

Each model is added as a separate action step, so a single flow can use several. Zoho gives three examples:

  • Reviewing content. A document submitted in Zoho Writer is researched and cross-checked against sources by Perplexity, reviewed for tone, accuracy, and brand guidelines by Claude, and then has its status updated.
  • Enriching and routing a lead. A new CRM lead is researched by Perplexity, classified and scored by DeepSeek, and routed to the right sales rep by a Zia agentic action based on deal size and territory.
  • Handling a support ticket. Claude reads the whole conversation for sentiment, urgency, and the core issue, then ChatGPT drafts a relevant response.

Setup: Accounts and API Connections

For ChatGPT, Claude, Gemini, Perplexity, and DeepSeek, you connect your own account with the relevant provider. Zia's built-in actions are part of Zoho Flow itself and need no external API connection, separate account, or extra subscription, so they are the quickest to try.

For UK and EU data-residency concerns with external models in Zoho CRM, see Zoho CRM MCP Server with Amazon Bedrock for UK/EU data residency, and for Zoho's managed model access in CRM, see Zoho Key Service. Those cover Zoho CRM specifically; the connections described above are set up separately inside Zoho Flow.
