Configuring Conditional Assignment in Zoho One

Conditional assignment in Zoho One allows administrators to create rules that automatically assign applications to users based on specific attributes in their profile, such as their department, designation, work location, or employment type. Rather than manually assigning applications to each user individually, conditional assignment keeps access up to date automatically as user attributes change.

Why Use Conditional Assignment?

In organisations with frequent staff changes, conditional assignment reduces administrative overhead significantly. When a new user joins a department, they automatically receive the applications associated with that department's rules. When a user moves to a different team, their application access updates to reflect their new role. This ensures users always have the tools they need without requiring manual intervention from an administrator on every change.

Accessing Conditional Assignment

Sign in to Zoho One as an administrator and open the Admin Panel. Navigate to Applications and then select Conditional Assignment from the sub-menu. This page lists all currently configured assignment rules.

Creating a Conditional Assignment Rule

  1. Click Create Rule. Select the option to create a new conditional assignment rule.
  2. Define the condition. Choose the user attribute that will trigger the rule, such as department, designation, work location, or employment type. Then specify the exact value to match (for example, Department equals Sales).
  3. Select the applications to assign. Choose which Zoho applications should be assigned to users who match the condition. You can include multiple applications in a single rule.
  4. Configure the assignment action. Decide whether matching users should receive these applications immediately, or whether additional administrator approval is required before access is granted.
  5. Save and activate the rule. Save the rule to make it active. The rule will evaluate existing users immediately and apply to new users as they are added or their attributes change.

Managing Existing Rules

Rules can be edited, reordered, activated, or deactivated at any time. If a user matches more than one rule, all matching rules will apply unless they conflict, in which case rules with higher priority (based on order) take precedence. Deactivating a rule does not revoke existing application assignments; it simply stops the rule from applying to future changes.

Note: Conditional assignment works alongside manual assignment. Applications assigned manually to a user will not be removed by a conditional rule, even if the user no longer matches the condition. To remove manually assigned applications, you must do so through the individual user's profile.
