Workflow Rules in Zoho CRM automate a set of actions, such as sending email notifications, assigning tasks, and updating fields, whenever specific conditions on a record are met, removing the need for someone to spot and act on those conditions manually.
The Components of a Workflow Rule
Basic details
Specify the module the rule applies to, along with a rule name and description.
Rule trigger
Choose one of three trigger types, which can't be changed later once the rule is created:
- A record action. Trigger when a record is created, edited, created or edited, deleted, or when a specific field or section is updated.
- A date field's value. Trigger monthly or yearly based on the value of a chosen date field, for matching records.
- A score value. Trigger when a record's score increases, decreases, or is updated.
Rule criteria
Define which records the rule applies to: all records that match specific criteria, all records unconditionally, or, from the second condition onwards, records that don't meet any of the earlier conditions. When multiple conditions exist, a record is validated against them in order, and once it matches one, the remaining conditions aren't checked for that record.
Actions
Actions fall into two timing categories:
- Instant actions. Fire immediately when the rule executes, including email notifications, tasks, field updates, webhooks, custom functions, creating a record, and sending notifications via Cliq, Slack, or Cisco Webex. On Edit or Field Update rules, Instant Actions can also convert Leads, Quotes, or Sales Orders.
- Scheduled actions. The same action types, but scheduled to run at a specified later time rather than immediately.
Locking a Workflow Rule
A rule can be locked so other users can't edit it, or any actions associated with it, without unlocking it first. Anyone needing a similar rule can clone the locked one instead of requesting it be unlocked.
Important Behaviour to Know
- Field Update triggers need both criteria satisfied. For a rule using Field Update as its execution criteria to fire, both the rule criteria and the execution criteria must be true simultaneously.
- Subscription downgrades disable rules. If your account is downgraded or your subscription lapses, workflow rules are disabled automatically, and you'll need to manually re-enable them after renewing.
- Delete triggers have limited action support. A rule with Delete as its execution criteria only supports email notifications, functions, and webhooks as actions, and won't fire for records deleted from the Recycle Bin.
- Scheduled actions don't always reschedule. If a record is edited but no longer meets the rule criteria, previously scheduled actions won't be rescheduled. Deleted records that are later restored also don't have their scheduled actions reinstated.
Configuring via API
Workflow rules can also be created and managed through the Zoho CRM API, supporting the same instant action types programmatically, useful if you're building or migrating a large set of rules rather than configuring them one by one through the interface.
