Zoho Flow is an integration platform that lets you connect Zoho Analytics with over 300 other applications, automating the transfer of data between systems without requiring any technical expertise. By setting up a flow, you can ensure that whenever data changes in a connected application, that information is automatically pushed into your Analytics workspace for reporting and analysis.
Prerequisites
Before creating a flow to connect an application with Zoho Analytics, ensure the following are in place:
- An active Zoho Flow account.
- A Zoho Analytics workspace with the target table already created and ready to receive data.
- Account Admin or Workspace Admin role in Zoho Analytics.
- A Zoho Analytics API authtoken for authentication.
How Flows Work
Each Zoho Flow consists of three core components working together: a trigger that starts the flow when a specified event occurs, a connection that authenticates access to the target application, and one or more actions that define what happens to the data. When the trigger fires, the flow automatically executes the configured actions against your Zoho Analytics workspace.
Setting Up a Flow
- Create the flow. In Zoho Flow, start a new flow and give it a name and description.
- Configure the trigger. Select the source application and define the event that will activate the flow.
- Authenticate Zoho Analytics. Add Zoho Analytics as the action application, connecting it using your API authtoken.
- Select your workspace and table. Choose the target Analytics workspace and the specific table where the data should be written.
- Map the fields. Match the data columns from your source application to the corresponding columns in your Analytics table.
- Activate the flow. Toggle the flow on to enable it. Use the Test and Debug feature to verify the flow is working correctly before relying on it for live data.
Available Trigger Types
- App Trigger: Fires when a data update occurs in a connected application.
- Schedule Trigger: Runs the flow at a defined time or interval.
- Webhook Trigger: Activates in response to an external event sent to a webhook URL.
Available Actions in Zoho Analytics
- Create Row: Adds a new row to your Analytics table each time the trigger fires, with source data mapped to the appropriate columns.
- Update Row: Modifies an existing row based on a matching identifier, keeping your Analytics data in sync with changes in the source system.
- Fetch Row: Retrieves data from Analytics to verify whether a record already exists, helping you prevent duplicate entries before writing new data.
Analytics Capabilities
Once your external application data is flowing into Zoho Analytics, you can build charts, dashboards, and reports to turn that data into actionable insights. Because the data arrives automatically through Zoho Flow, your reports stay current without requiring manual data entry or exports.
Note: Zoho Flow changes are auto-saved as you work, but a manual save option is also available. Always test your flow using the Test and Debug feature before activating it for production use.
