Creating Reports in Zoho Analytics

Zoho Analytics provides a drag-and-drop report designer that allows you to build a wide range of visualisations and data views from your workspace tables. Whether you need a simple table, an interactive chart, or a multi-metric dashboard, the platform covers all common business intelligence use cases without requiring coding skills.

Available Report Types

Charts

Zoho Analytics supports over 75 chart types, including bar, line, area, pie, scatter, funnel, combination, and web charts. Charts are best used when you want to identify trends, compare values across categories, or visualise distributions and proportions.

Pivot Tables

Pivot tables allow you to summarise and rearrange data dynamically. You can group rows and columns, apply aggregation functions, and drill down into specific segments. They are particularly useful for cross-tabulation and comparative analysis.

Summary View

The Summary View presents data in a grouped tabular format with subtotals and grand totals. It is well suited to analysing large datasets where you want to see aggregated figures broken down by one or more dimensions.

Tabular View

The Tabular View displays raw data in a spreadsheet-style layout. It supports grouping, sorting, and filtering but does not apply aggregations by default. Use this view when you need to see individual records rather than summarised figures.

Dashboards

Dashboards bring together multiple reports on a single page, providing a high-level overview of your key metrics. You can arrange, resize, and link charts, tables, and KPI widgets within a dashboard to create a focused, interactive view for your team.

How to Create a Report

  1. Open your workspace and click New, then select the report type you want to create (for example, Chart, Pivot Table, or Summary View).
  2. Choose the table or tables you want to use as the data source. If your workspace has defined lookup relationships, columns from related tables will be available automatically.
  3. Drag columns from the data pane on the left into the appropriate shelves (such as X Axis, Y Axis, or Rows and Columns for pivot tables).
  4. Apply filters, sorting, and aggregation settings as needed using the toolbar options.
  5. Customise the appearance using titles, colours, legends, and display settings.
  6. Click Save, give the report a name, and choose where to save it within the workspace.

Tips for Effective Reports

  • Start with a clear question: Define the business question your report should answer before choosing a chart type or layout.
  • Ensure data quality first: Remove duplicates and correct formatting issues in your source tables before building reports.
  • Choose the right visualisation: Match the chart type to the nature of your data and the insight you want to communicate.
  • Keep it focused: Avoid adding too many metrics to a single report. Use dashboards to group related reports instead of overloading one view.
