Zoho Bigin now lets you customise the content of the emails sent out when a customer books, reschedules, or cancels an appointment through your Booking Pages. Previously, these emails used a fixed template that was identical for every business and couldn't be changed.
Why This Matters
If you use Booking Pages to let customers schedule appointments, such as a dental clinic booking patient visits, Bigin automatically sends different emails depending on the situation, a booking confirmation, a cancellation notice, or a reschedule update. Since these messages previously carried the same generic wording for every business using Bigin, there was no way to make them sound like they actually came from you. Now the content of each one can be edited to reflect your company's own voice and preferences.
The Four Customisable Emails
- Confirmation email. Sent when a customer books an appointment.
- Reschedule email. Sent when an appointment is rescheduled.
- Cancellation email. Sent when an appointment is cancelled.
- Reminder email. Sent to the customer ahead of their appointment as a reminder.
Note: Reminder templates are only available for the Events module, covering both standard Events and Group Events.
How to Customise Your Booking Emails
- Go to your Booking Page settings in Bigin.
- Click the three-dot (more) menu next to the specific Booking Page you want to edit, and select Customize Email.
- Choose which of the four emails you want to customise.
- Edit the existing message, or delete it entirely and write your own content in its place.
- Save your changes.
What you can and can't change: Only the message content itself can be customised. The underlying template structure stays fixed, and you can't create entirely new templates beyond the four provided. Once saved, the customised wording applies to every future email of that type sent for that specific Booking Page. As before, these emails continue to include links letting customers reschedule or cancel their appointment directly, taking them to the reschedule page to pick a new time.
A Quick Refresher on Booking Pages Themselves
Booking Pages are public pages you create for scheduling calls, appointments, or online meetings. You publish your availability, and customers pick a slot that works for them, with the booking landing directly in your Bigin calendar as an event or call, rather than needing separate scheduling software bolted onto your CRM.
Creating a Booking Page
- Go to Settings, then Toppings, and install the Booking Pages topping if you haven't already.
- Click Create a Booking Page and choose either a one-on-one or a group meeting page type.
- Enter basic details about the service, such as its name, description, and your business logo.
- Set the appointment duration and specify the time slots during which you're available.
- Add any fields you want customers to fill in when registering their details and completing a booking.
- Share the finished Booking Page with customers to start collecting bookings.
Availability and permissions: Only users with an Administrator profile can create and manage Booking Pages. On the Free plan you get one Booking Page. On Express and Premier plans, your first Booking Page is free, with a paid add-on available to create up to 100. On Bigin 360 and Zoho One plans, up to 100 Booking Pages are included without needing the add-on at all.

- Healthcare providers sharing a booking link via WhatsApp or SMS when a patient calls, or printing the page's QR code on posters to manage walk-ins
- Tutors, personal trainers, yoga teachers, and other educators managing one-on-one and group class schedules through separate dedicated pages
