Document Management in Zoho CRM provides a centralised way to store, organise, and access the files your team uses across the sales and customer relationship lifecycle. From proposals and contracts to product datasheets and onboarding guides, documents can be linked directly to CRM records and shared with colleagues without leaving the platform.
Within Zoho CRM you can upload, view, download, rename, move, and delete documents. Files can be attached directly to individual records (such as a contract attached to a deal) or stored in the central document library for team-wide access. You can preview many common file types directly within the browser without downloading them.
Documents stored in Zoho CRM can be organised into a folder hierarchy, making it straightforward to group files by project, product line, customer segment, or any other structure that suits your team. Folders can be named, nested, and shared with specific users or roles. A well-structured folder arrangement helps teams find the right document quickly without searching through unorganised file lists.
Earlier versions of Zoho CRM included a built-in Document Library for storing and sharing files within the organisation. This feature has been superseded by the integration with Zoho WorkDrive, which provides a more capable and scalable document management environment. Organisations that were using the legacy Document Library are encouraged to migrate their files to WorkDrive.
Zoho provides a migration path from the legacy Document Library to WorkDrive. Once migration is complete, all your documents are accessible from both Zoho CRM and Zoho WorkDrive, with enhanced collaboration features including version control, co-editing, and granular sharing permissions. Migration is recommended for any organisation that has not yet made the transition.
When Zoho WorkDrive is integrated with Zoho CRM, documents stored in WorkDrive can be accessed and attached to CRM records without having to download and re-upload files. Users can browse their WorkDrive folders directly from within the CRM interface, select the relevant document, and link it to any record. This keeps your document storage centralised in WorkDrive whilst making files immediately available to the sales team within their CRM workflow.
Access to documents within Zoho CRM is controlled through the standard profile and role permissions. Administrators can configure which users can upload, edit, delete, or only view files. This ensures sensitive documents such as contracts or financial proposals are accessible only to authorised team members.
