When you identify two or more records that represent the same contact, account, or lead, you can merge them into a single consolidated record. During the merge process, Zoho CRM lets you choose which values to retain from each duplicate, so you preserve the most accurate and complete data. Any associated activities, notes, emails, and attachments from all merged records are brought together under the surviving record.
This approach is best suited for situations where you have already identified specific duplicates and want to resolve them on a case-by-case basis.
For larger datasets where manual review is impractical, Zoho CRM includes an automated deduplication tool. You select the fields that should be used to identify duplicates — such as email address, phone number, or company name — and the system scans your database to find records with matching values in those fields. Any matches are then automatically merged, reducing the time and effort required for database maintenance.
This tool is particularly useful after a large data import, where duplicates may not be immediately visible, or when consolidating records from multiple sources.
The most effective way to manage duplicates is to prevent them from being created in the first place. Zoho CRM allows you to designate certain fields as unique, which means the system will reject any new record that contains a value already present in an existing record for that field. For example, marking the email address field as unique on the Contacts module will prevent two contacts from sharing the same email address.
This preventive approach is especially valuable for high-volume databases where duplicates can accumulate quickly and cause problems for reporting, communication, and pipeline accuracy.
A well-managed CRM typically combines all three approaches: unique field settings reduce the creation of new duplicates, the deduplication tool addresses existing issues in bulk, and manual merging handles edge cases where records need individual attention.
