Email Configuration Alerts in Zoho CRM

When you connect a personal mailbox to Zoho CRM, every incoming email appears in your inbox, and the emails you send from CRM go out through that same mailbox. But if your password changes on the mailbox provider's side, or your organisation resets it periodically, the connection can break silently, meaning you stop receiving new emails and sending from CRM starts failing without any obvious explanation.

Zoho CRM has introduced Email Configuration Alerts, which make these failures visible and actionable, rather than leaving them hidden in the background until someone notices something's wrong.

Two Layers of Protection

  • Reactive alerts. Visible notifications shown when you interact with email-related features while a configuration issue exists.
  • Proactive alerts. Automatic notifications sent to you as soon as a configuration breakage is detected, rather than waiting for you to stumble across it.

Both types of alert cover every email-configured user in your organisation.

Reactive Alerts: What You'll See While Working

A Single, Clearer Status Field

The old, separate "configuration status" and "sync status" fields have been merged into one Status field within Email Settings, tracking both whether your configuration is valid and whether your mailbox is syncing correctly. Possible states include:

  • Active. Everything is working correctly.
  • Active, sync pending. Configuration is set up, and the initial sync is about to start.
  • Active, sync in progress. The initial sync is currently running.
  • Active, sync incomplete. Configuration is valid, but the sync hasn't finished yet.
  • Inactive. The configuration has broken, for example due to a changed password or revoked access.

A last-updated timestamp also shows exactly when the status last changed, so you know how recently an issue actually occurred.

Where the Alerts Show Up

  • Email Settings page. See your configuration status at a glance, view details on any failure, get clear next steps, and act directly via built-in call-to-action buttons.
  • Mail Magnet. A status indicator in the header shows the health of your configured mailbox.
  • Email Composer. An error message appears if you try to send while your configuration is broken. With an Inactive configuration, the Send button is disabled once you select the sender address, though you can still draft the email; you simply can't send until the issue is fixed. Sending using an organisation email address, rather than your personal mailbox, still works.
  • Email-related lists. Alerts appear when you access email lists within modules.
  • SalesInbox. An alert pop-up appears here too. With a broken configuration, the Composer button is disabled, and the Send button is disabled with an error shown if you try to reply to or forward a message.

Proactive Alerts: Getting Notified Before You Notice Yourself

  • Email notification. An email alert with a direct link to your Email Settings page, so you can address the issue quickly.
  • Admin report. Every 24 hours, admins receive a consolidated list of users with a broken email configuration, giving a single place to track configuration health across the whole organisation.

Fixing a Broken Configuration

From the CRM Email Settings page, select your account and log in again, allowing Zoho to access your email account information once more. This re-establishes the connection using your current credentials.
