It's easier to understand calendar sync by following one meeting through the whole process rather than reading about it in the abstract. Below is a concrete walkthrough of what happens when a sales rep books a client meeting in Zoho CRM, from the moment it's created to where it ends up sitting in Microsoft 365.

The starting point: booking the meeting in Zoho CRM

Say a rep named Sarah is working a deal for a client called Northgate Supplies. From inside the Northgate Supplies deal record in Zoho CRM, she creates a new event: "Contract Renewal Review with Northgate Supplies", set for 2pm next Thursday, with the client contact added as an invitee. She saves the event directly against the deal, so it's immediately visible to anyone else on the account.

  1. Sarah creates the event in Zoho CRM. She fills in the title, date, time and attendees, and links it to the Northgate Supplies record so it appears in that account's activity history.
  2. The integration picks up the new event. Because it was created individually rather than through a bulk import, it's eligible to sync across to Microsoft 365.

The catch: it's not necessarily her main calendar

Here's the detail that trips people up the first time they use this integration. Sarah's Contract Renewal Review doesn't necessarily appear on her everyday, primary Outlook calendar. In most setups, the integration writes into a separate, dedicated Zoho sync calendar that sits alongside her main one in Microsoft 365, rather than merging directly into it.

Note: If Sarah only ever looks at her default calendar view and doesn't have the Zoho sync calendar visible alongside it, she can easily miss the Northgate Supplies meeting entirely, even though it did sync successfully. It's worth every user confirming both calendars are ticked on and visible in their Microsoft 365 calendar view.

What would have been different

If Sarah had instead loaded a batch of old Northgate Supplies meetings into Zoho CRM via a spreadsheet import, none of those historic events would have synced across to Microsoft 365, since imported events sit outside the sync. And if the Contract Renewal Review had been logged as a Zoho CRM "Call" rather than an "Event", it may not have carried across in the same clean way either, given Microsoft 365 doesn't handle Calls the same way Zoho CRM does internally.
