A Teamspace is built around a specific team and a shared objective, holding the modules and projects that team works with every day. But the documents that team depends on, a sales team's price list and battle cards, a marketing team's campaign briefs and launch decks, an operations team's process documents, traditionally lived somewhere else entirely: the general Documents tab, in folders and team folders of their own, away from the modules and projects they actually belonged to. Access was never the problem, since permissions already made sure the right people could reach a document. Distance was the issue, with teams having to step out of the space where the work was happening every time they needed a file.
Files in Teamspaces closes that gap, letting users add documents, spreadsheets, and presentations directly to a Teamspace, so the material a team relies on sits right alongside the work itself.
Zoho WorkDrive stores every file added to a Teamspace, the same single storage layer already used for files attached to CRM records. The first time you add a file to a Teamspace, CRM checks whether WorkDrive is enabled for your account; if it isn't, you turn it on in one step, with nothing further to configure.
From then on, add files straight from the + (Add) menu, starting from a blank file, a WorkDrive template, an existing WorkDrive file, another connected cloud drive such as Google or Microsoft, or an upload from your device.
Once added, each file appears in the Teamspace's left panel with an icon showing its type (document, spreadsheet, or presentation). From there you can view and download files, opening them directly within CRM or downloading a copy to your device.
When a file isn't meant for the whole team, such as a pricing proposal that still needs sign-off, a Teamspace lead can share it with only specific members, setting each person's access individually to view, edit, or share. The rest of the Teamspace doesn't see it until it's ready.
Adding and managing files follows the Teamspace's existing access roles. Members with permission to manage the Teamspace can add files, share them, and control access, the same way project management within a Teamspace is already handled.
