Zoho One Annual Billing: Adding and Removing Users Mid-Year

How Onboarding and Offboarding Work on Zoho One's Annual Billing

If you're billed annually for Zoho One, it's a fair question what actually happens when you onboard or offboard employees partway through the year, rather than at renewal. The short answer: adding users is handled smoothly through pro-rata billing, while removing users works a little differently, and it's worth understanding that difference before you assume money comes straight back when someone leaves.

Adding a User Mid-Year

You can modify your licence count at any point during your subscription period, not just at renewal. From your Zoho One account icon, go to Subscription, then Manage, and either Manage Employees (All-Employee pricing) or Manage Users (Flexible User pricing), entering the new total user count.

How this is charged: Adding a user mid-year is handled as a pro-rata payment, covering that new user's access for the remaining portion of your current annual term, rather than waiting until the whole organisation renews together. You're charged for the time actually used, not a full extra year upfront.

When an Employee Leaves

When someone leaves, you deactivate their user account rather than deleting it outright, which preserves their historical data and activity while removing their ability to log in. Deactivating frees up that licence slot, which you can then assign to a new hire, without needing to purchase an additional seat.

This is the part worth understanding properly: on an annual plan, a reduction in your licence count generally only takes effect at your next renewal, rather than producing an immediate part-year refund the moment someone is deactivated. In practice, this means deactivating a leaver gives you a spare, already-paid-for seat to reuse for their replacement, rather than money back straight away if you don't fill that seat. If you need to formally reduce your total licence count rather than just free up a seat to reuse, that reduction is actioned the same way as an addition, through Manage Employees or Manage Users, but takes effect from your next renewal.

What This Means in Practice

  • Growing headcount during the year? You pay pro rata for each new user, from the day they're added to the end of your current term, so you're not paying for time they didn't have access.
  • Someone leaves and you'll replace them? Deactivate them, and use that same already-paid-for seat for the new hire, with no additional licence purchase needed.
  • Someone leaves and you won't replace them? The seat sits unused until your renewal date, at which point you can reduce your licence count for the next term. It's not generally refunded mid-year simply because the seat is currently unused.
We're not accountants or billing specialists, and the exact terms can vary by plan or change over time, so for a specific figure or a contractual question about your own subscription, confirm directly with Zoho or check your current Zoho One Admin Panel under Subscription.
