How to Import Notes in Zoho CRM

If you need to write notes for a large batch of records at once, or attach the same note to several records, adding them one by one inside Zoho CRM quickly becomes tedious. The Import Notes feature lets you export your existing records to a spreadsheet, add notes in new columns, and import them straight back in.

How to import notes

  1. Prepare your spreadsheet. Use either a file exported from Zoho CRM or a new sheet, and make sure it includes a Note Title column and a Note Content column. Alongside these, include a column for one of the module's unique fields, such as Email or Record ID, so each note can be matched to the right record.
  2. Open the module. Click the relevant module tab, such as Leads, Contacts, or Accounts.
  3. Start the import. On the module's home page, click Import Notes.
  4. Upload the file. Browse to your file and upload it, then click Next.
  5. Map the fields. Match your file's columns to the corresponding fields in Zoho CRM. Formats are suggested automatically based on your first few columns and can be edited. Use Mapped and Unmapped to check your progress, Reset Mapped Fields to start over, or Apply Auto Mapping to let Zoho CRM match columns automatically.
  6. Click Import. The notes are added to each matching record's details page.

Permissions required

  • Create permission for Notes under Module Level Permissions.
  • Import permission on the specific parent module in Profiles. For example, having Notes creation permission alone won't let a user import notes for Leads if they don't also have Import permission for Leads.
