Getting DKIM and SPF records right when sending mail from Zoho CRM is a one-time setup task, but keeping them healthy is an ongoing one, and it is exactly the kind of quiet, easy-to-forget monitoring job that AI-driven tooling is well suited to. This article looks at how Zia and Zoho's AI agents could extend the manual process described in our Email Authentication in Zoho CRM guide.
Why Authentication Health Matters Beyond the Initial Setup
DKIM and SPF records can silently break, for example when a domain is migrated to a new provider, a DNS record is edited for an unrelated reason, or a domain registrar renewal changes nameservers. Because authentication failures do not stop email from sending outright, in many cases they simply make it more likely to land in spam, so a break can go unnoticed for weeks while replies and engagement quietly decline.
Where Zia and AI Agents Could Extend This Today
- Pattern spotting in deliverability data. Zia's forecasting and anomaly-flagging capabilities elsewhere in Zoho CRM, such as identifying unusual drops in email open or reply rates, could reasonably be pointed at authentication-linked deliverability metrics to flag a sudden dip worth investigating.
- Zia Agents triggered from a Workflow Rule. A scheduled Workflow Rule can already call a Zia Agent as an action, which opens the door to a periodic check that summarises recent bounce or deliverability trends into a plain-English note for an administrator, rather than requiring someone to interpret raw statistics.
- Natural-language troubleshooting. When something does look wrong, being able to ask an AI agent to summarise recent changes to a domain's email configuration, in plain language, would meaningfully shorten the time an administrator spends diagnosing the cause.
Practical Ways to Start
Rather than waiting for a purpose-built authentication monitor, most organisations can get a meaningful head start by setting up a scheduled Workflow Rule that reviews email bounce and open rate trends on a monthly basis and routes a summary to the CRM administrator, with a Zia Agent step used to turn the raw numbers into a short written summary rather than a spreadsheet.
Worth noting: Zia does not currently perform DNS record validation directly, so any authentication check still needs to happen through your domain host or a dedicated DNS checking tool. The value AI adds here is in summarising the downstream deliverability signals, not in replacing a DNS lookup.
