Zoho Books: Invoicing the Legal Entity When CRM Uses a Trading Name

Invoicing the Legal Entity When Your CRM Account Uses a Trading Name

If sales know a customer by its trading name in Zoho CRM, but invoices need to go out under its full legal entity name, the fix lives in two specific fields and one invoice setting in Zoho Books. In this example, the customer trades as TAPS but is legally Tavern And Pub Society Limited.

How the Name Crosses Over from CRM

When CRM and Books are integrated, the Account Name in Zoho CRM maps to the Display Name field on the matching customer in Zoho Books. If a customer record is created fresh via this integration and the Company Name field in Books is left blank, invoicing defaults to using the Display Name, which is the trading name, TAPS in this example, rather than the legal entity.

The fix: populate the Company Name field on the customer record in Zoho Books with the full legal entity name. Open the customer, edit, and set Company Name to Tavern And Pub Society Limited, leaving Display Name as TAPS. Display Name is what your finance team will see and search by day to day in Books; Company Name is what should appear on the invoice itself.

The Invoice Template Gotcha

Setting Company Name correctly isn't quite the end of it. By default, the Bill To section on an invoice template is configured to pull the Display Name, not the Company Name, so even with both fields set correctly, an invoice can still show the trading name unless this is changed.

  1. Go to Settings, then search for and open Customers and Vendors.
  2. Find Billing Address Format.
  3. This defaults to a Display Name placeholder. Replace it with the Company Name placeholder instead.
  4. Save. New invoices generated from this point will use Company Name in the Bill To section.
Why this setting is easy to miss: it isn't configured from the invoice template editor itself, where you might reasonably expect to find it. The placeholder has to be copied from the template, then changed in Settings, then Customers and Vendors, before being reapplied, rather than edited directly in place.

Confirming It Worked

Create a test invoice against the customer. Even though the invoice is raised against the record found and selected as TAPS, the Bill To section on the generated invoice should now correctly show Tavern And Pub Society Limited.
