What Is a Lite User

A Lite User is a member of your Zoho One organisation who holds a restricted licence. Unlike a standard full-access user, a Lite User can only be granted access to a defined subset of Zoho applications. The number and selection of applications available to Lite Users are configured by an administrator. Lite Users are typically priced at a lower rate than full users, reflecting the narrower scope of access.

When to Use Lite Users

Lite Users are well suited to a range of scenarios, including:

• Contractors or freelancers who need access to a project management or timesheet tool but not the broader business suite.
• Part-time employees whose job function only touches one or two applications.
• Field staff who only need a mobile-accessible app rather than the full desktop suite.
• External collaborators who require limited, controlled access to your Zoho environment.

Adding a Lite User

To add a Lite User, navigate to the Users section of the Zoho One Admin Panel and click Add User. During the setup process, select Lite User as the user type. You will then be able to specify which applications this person should have access to, choosing only from the applications permitted under the Lite User plan. Once saved, the person receives an invitation email to activate their account.

Application Restrictions for Lite Users

Administrators control which applications are eligible for Lite User access. This list is typically configured at the subscription or plan level and may vary depending on your Zoho One agreement. Within that permitted list, you can choose which specific applications to assign to each individual Lite User. Applications not included in the permitted list cannot be granted to Lite Users regardless of their availability in your full subscription.

Converting Between User Types

If a Lite User's role changes and they require broader access, an administrator can upgrade them to a full user. This change will update their licence type and allow you to grant them access to the full range of applications available in your Zoho One subscription. Similarly, a full user can be converted to a Lite User if their responsibilities become more limited, freeing up a full licence for someone else.

Lite User Experience

When a Lite User signs in to Zoho One, they see only the applications they have been granted access to. The Zoho One dashboard and navigation reflect their restricted permissions, keeping the experience clean and focused on the tools they actually use. They cannot browse or request access to other applications independently.
