Making Views Public in Zoho Analytics

Zoho Analytics allows you to make individual views, including reports, dashboards, and data tables, accessible to a wider audience beyond your immediate team. By publishing a view as public, you can give organisation members, your entire Zoho user base, or anyone on the internet access to live data without requiring them to have a Zoho Analytics account.

Public Access Levels

When making a view public, you can choose from three levels of access:

Organisation Analytics Access

The view is available to users within your Zoho Analytics organisation only. They must be logged in to access it.

Organisation-Wide Access

The view is available to all users in your broader Zoho organisation, including users of other Zoho products. A Zoho login is still required.

Public Web Access

The view is accessible to anyone on the internet without requiring a login. Viewers always see the latest live version of the data. Public workspaces may also be listed on the Zoho Analytics Public Workspaces directory when this access level is selected.

How to Make a View Public

  1. Open the view you want to publish.
  2. Select Share and then choose the Make this View Public option.
  3. Select the appropriate access permission level.
  4. If required, restrict visibility to specific columns to protect sensitive data.
  5. Apply filter criteria to control which rows are visible to public viewers.
  6. Configure any additional granular permissions as needed.
  7. Confirm the settings to generate the public URL.

Data Visibility Controls

Even when a view is made public, you retain control over what data is visible:

  • Column Restrictions: Limit which columns from a data table are shown to public viewers, preventing exposure of sensitive or confidential fields.
  • Row Filters: Apply filter conditions so that only a subset of the data is visible in the published view.

Managing Public Access

You can edit or remove public sharing settings at any time through the Workspace Share tab or via the Embed and Public URL interface. Removing public access immediately prevents anyone from viewing the content via the previously shared URL.

Caution: When selecting Public Web Access, consider carefully which data is included in the view. Any information in the shared view will be accessible to unauthenticated internet users. Always apply appropriate column restrictions and row filters before publishing sensitive datasets publicly.
