Zoho CRM recognises four primary activity types, each serving a distinct purpose within the sales and customer management process:
Tasks are time-bound work items assigned to a CRM user. They represent specific actions that need to be completed by a set deadline, such as following up on a proposal, preparing a quotation, or sending a contract. Tasks can be created independently or linked to leads, contacts, accounts, or deals to provide context.
The Calls activity type allows you to both schedule planned calls and log calls that have already taken place. Scheduling a call in Zoho CRM creates a reminder and associates the interaction with the relevant contact or deal record. Logging a completed call captures the outcome, duration, and any notes from the conversation, building a comprehensive call history against the record.
Meetings represent interactions that take place at a specific location and time, whether in person or via video conferencing. You can invite multiple participants, set reminders, and link the meeting to relevant CRM records. Completed meetings are recorded against the associated leads, contacts, or deals.
Appointments are designed specifically for service scheduling scenarios. They allow customers or prospects to book specific time slots, making them particularly useful for businesses that offer consultations, demonstrations, or onboarding sessions as part of their sales or support process.
All four activity types in Zoho CRM are governed by permissions. Users must have the appropriate View, Create, Edit, and Delete permissions for each activity type in order to interact with those records. Permissions are configured by your CRM administrator through the profile settings and can be tailored to reflect the responsibilities of different roles within your organisation.
