Managing and Publishing Work Locations in Zoho One

Work Locations in Zoho One allow administrators to define and maintain the physical offices, remote sites, or other places where employees work. Once created and published, these locations can be referenced by users across supported Zoho applications including attendance and HR tools, ensuring accurate location data throughout your organisation's systems.

Why Work Locations Matter

Defining work locations centrally in Zoho One provides a single source of truth for where your teams operate. This is particularly valuable for organisations with multiple offices or hybrid working arrangements, as the location data flows through to attendance management, shift scheduling, and any HR or payroll processes that are location-dependent.

Accessing Work Locations

Sign in to Zoho One as an administrator and open the Admin Panel. Navigate to Organisation in the left-hand menu and select Work Locations. The page lists all currently defined locations along with their status (Published or Draft).

Creating a Work Location

  1. Click Add Location. On the Work Locations page, select the option to add a new location.
  2. Enter location details. Provide the location name, full address, country, and any additional details such as a phone number or specific notes about the site.
  3. Set the location type. Choose whether the location is an office, remote site, or another type as appropriate for your organisation.
  4. Save the location. Click Save to store the location as a Draft, or proceed directly to publishing.

Publishing Work Locations

Locations must be Published before they become available for use across Zoho applications. From the Work Locations list, select the location you wish to publish and use the Publish option. Published locations are immediately visible to users in the relevant Zoho applications. You can also unpublish a location if it is no longer in active use, which removes it from selection lists without permanently deleting the record.

Editing and Deleting Locations

Existing locations can be edited at any time by selecting the location from the list and updating the relevant fields. If a location is no longer needed, it can be deleted provided it is not currently associated with any active user records. If a location has existing associations, consider unpublishing it rather than deleting it to preserve historical data integrity.

Note: Changes to work locations may take a short time to propagate across all connected Zoho applications. If a location does not appear immediately after publishing, refresh the relevant application before raising a support request.
