Managing Applications in Zoho One

Once applications have been added to your Zoho One organisation, the Managing Applications section of the Admin Panel gives you ongoing control over how each application is configured, who can access it, and how it behaves across the organisation. This is where day-to-day administration of individual Zoho applications takes place from the Zoho One umbrella.

Accessing Application Management

Sign in to Zoho One as an administrator and open the Admin Panel. Navigate to Applications in the left-hand menu to see the list of all active applications within your organisation. Click on any application to open its management settings.

What You Can Configure

Each application's management page typically provides the following controls:

  • User assignment. Specify which users or groups have access to the application. You can assign applications to individual users, departments, or use conditional assignment rules to automate access based on user attributes.
  • Role and profile settings. For applications that support role-based access, you can map Zoho One roles to application-level roles and profiles from within the management page.
  • Application-specific settings. Some applications expose configuration options directly within Zoho One (for example, default language, notification preferences, or domain settings), which can be managed here without navigating to the individual application.
  • Provisioning settings. Control whether the application uses automatic provisioning to create user accounts when access is granted, or whether accounts need to be created manually within the application.
  • Single Sign-On (SSO). View and manage the SSO configuration for the application. Zoho One acts as the identity provider (IdP) for all supported applications, enabling users to access them without separate login credentials.

Deactivating or Removing an Application

If an application is no longer required, administrators can deactivate it from the management page. Deactivating an application removes it from the user launcher and revokes access without permanently deleting any data stored within the application. If you wish to remove the application entirely from the organisation's account, use the Remove option, bearing in mind that this may have implications for data retention depending on the application.

Note: Changes to application assignments take effect immediately for the affected users. Users currently logged in to a deactivated application may be able to continue their session until they log out or the session expires, after which access will be denied.
