Managing Products in Zoho CRM

The Products module in Zoho CRM acts as your central catalogue of the goods and services your organisation sells or procures. By maintaining product records within CRM, your sales team can quickly add line items to quotes, sales orders, and invoices without having to reference external spreadsheets or catalogues. Products can be linked to deals, used in price books, and associated with vendors.

What Is a Product in Zoho CRM?

A product record represents any item your business sells to customers or purchases from suppliers. This can include physical goods, software licences, subscriptions, or professional services. Each product record stores key details such as the product name, code, category, unit price, tax class, and description. Products can be marked as active or inactive to control whether they are available for use in quotes and orders.

Standard Product Fields

  • Product Owner: The CRM user responsible for managing this product record.
  • Product Name: The name of the product as it appears in quotes and orders.
  • Product Code: An optional identifier used to match the product to records in other systems.
  • Product Category: Groups products into logical categories for reporting and filtering.
  • Unit Price: The standard selling price for one unit of the product.
  • Tax: The applicable tax class, used to calculate tax totals on quotes and invoices.
  • Usage Unit: Defines the unit of measure (e.g. hours, licences, kilograms).
  • Description: A free-text field for additional product details.

How Products Are Used in Zoho CRM

Products can be added as line items when creating or editing a Quote, Sales Order, Purchase Order, or Invoice. The system automatically populates the unit price and applies any relevant discount or tax. Products can also be associated with Price Books, which override the standard unit price for specific customers or scenarios. If your organisation uses vendors, you can link products to vendor records to track which suppliers provide which items.

Adding and Importing Products

Products can be created individually through the Products module by completing the standard fields. For organisations with large catalogues, Zoho CRM supports bulk import via CSV or XLS files, allowing you to upload hundreds or thousands of product records at once. Existing products can be exported in the same formats for use in other systems.
