Once Zia Agents are deployed in Zoho CRM, ongoing management is an important administrative responsibility. This article covers the key management actions: working with active agents, adjusting their configuration, deactivating them when they are no longer needed, and — in exceptional circumstances — permanently removing the Agent Portal entirely. All agent management is handled through Setup › General › Agents.
Deployed, activated agents appear in the Active section of the Agents page. Team members with the appropriate permissions can interact with agents from here, trigger them manually (where a Custom Button has been configured), or allow them to continue running on their defined trigger conditions. Each active agent displays a Version ID confirming whether the version running in your CRM matches the latest published version in Zia Agents — if they differ, an Update option will be visible.
To review or update a deployed agent, select Manage Agent from its options. From here you can modify trigger conditions, parameter mappings, context settings, and other configuration details. After making changes, click Update to push them into the active deployment. The Version ID updates automatically to reflect the revised configuration.
When an agent is no longer required — whether temporarily during a process review or permanently because a use case has changed — hover over the agent card in the Active section and select Deactivate. A confirmation prompt will appear; click Ok, Deactivate Now to confirm. The agent moves to the Draft section and stops processing immediately. No configuration data is lost, and the agent can be reactivated from Draft at any point.
Disabling the Agent Portal is a permanent, high-impact action. It removes all active agents from your CRM environment — their configurations, trigger settings, and parameter mappings are deleted. Any agent processes that are in progress or scheduled will stop immediately. Records that the agents have already modified remain unchanged, but all agents are moved to Draft status within Zia Agents itself.
There are two navigation paths to the disable option:
On either path, a confirmation popup appears before the action is completed. Read it carefully before confirming.
If you need to resume using Zia Agents after disabling the portal, you will need to reconnect a Zia Agents portal from scratch and redeploy all required agents. Agent configurations that existed in Draft status at the time of disabling may still be accessible within Zia Agents, but all CRM-side deployment data — triggers, parameter mappings, context settings — will need to be re-established in full.
