Price Books in Zoho CRM

Price Books in Zoho CRM allow you to define different selling prices for the same product depending on the customer, contract, or sales context. Rather than maintaining a single fixed price per product, you can create multiple price books — for example, a standard retail price book, a partner discount price book, or a promotional price book — and apply them when generating quotes, sales orders, and invoices.

Why Use Price Books?

Price Books are particularly useful when your business sells to different types of customers at different rates. A reseller might receive products at a lower cost than an end customer. A long-term account might have negotiated preferential pricing. A promotional campaign might require temporary discounts. Price Books let you manage all of these scenarios within Zoho CRM without changing the core product record.

Standard Price Book Fields

  • Price Book Owner: The CRM user responsible for this price book record. This is a required field.
  • Price Book Name: A descriptive name to identify the price book, for example "Partner Pricing Q3" or "NHS Framework Rates". This is a required field.
  • Active: A toggle that controls whether the price book is available for use on new quotes and orders.
  • Currency: The currency in which prices in this price book are expressed.
  • Description: Optional free-text notes to explain the purpose or conditions of the price book.

Adding Products to a Price Book

Once a price book has been created, you add products to it and specify the list price and any discount percentage applicable under this price book. Each product can have a unique price within each price book, overriding the standard unit price set on the product record. Products can be added manually one at a time, or imported in bulk using a CSV or XLS file.

Using Price Books on Quotes and Orders

When creating a quote, sales order, or purchase order, you can select a price book to apply. Once selected, any products added as line items will draw their pricing from the chosen price book rather than from the standard product unit price. This ensures that the correct contractual or promotional rate is applied automatically, reducing the risk of pricing errors.

Note: The Price Book Name and Price Book Owner fields are required when creating a new price book. A price book must be set to Active before it can be selected on quotes and orders.
