Setting Up an Unsubscribe Link in Zoho CRM

Setting Up an Unsubscribe Link in Zoho CRM

Unsubscribe links let email recipients opt out of communications from Zoho CRM, embedded in your email templates or footers, or hosted as a standalone webpage.

Default vs. Custom Links

Zoho CRM provides a system-defined default unsubscribe link, available to every user, which cannot be customised. If you need something tailored to your brand or a specific process, you can instead create a custom link.

Requires the Unsubscribe Form permission within the user's profile to access this feature at all.

Creating a Custom Unsubscribe Link

  1. Go to Setup, then Channels, then Email, and find the unsubscribe link settings.
  2. Give the link a unique name, distinct from any other unsubscribe link already set up in your account.
  3. Choose whether it should be hosted on the standard page designed by Zoho CRM, or point to a custom webpage of your own.
  4. Save the link, then embed it in your email templates or footers wherever needed.
Limits: The number of unsubscribe links you can create is capped based on your Zoho CRM edition. If you hit the limit when trying to create a new one, delete an unused existing link first, or check your edition's specific allowance.

Creating Links via the API

Unsubscribe links can also be created programmatically via POST to /crm/v8/settings/unsubscribe_links, specifying a unique name and whether the link should use the standard Zoho-hosted page or a custom URL.

How This Interacts with Email Opt Out

When a recipient uses an unsubscribe link, this typically sets their Email Opt Out field in CRM, which then prevents further email from reaching them. Worth knowing: Email Opt Out is a single, all-or-nothing checkbox in standard Zoho CRM, so it doesn't natively distinguish between someone opting out of marketing-style content specifically versus transactional or functional emails they may still want, such as order updates. If you need genuinely separate subscription categories, that typically requires additional configuration beyond the single Opt Out field, such as custom fields combined with workflow logic.

A recent industry-wide development worth knowing: Following Gmail and Yahoo's bulk sender requirements for a one-click unsubscribe mechanism, some users have reported that a new, mandatory one-click unsubscribe link can take precedence in the recipient's email client over a custom unsubscribe link you've configured yourself. If your custom unsubscribe experience seems to be getting bypassed for certain recipients, this industry-wide requirement is worth checking as a likely cause, rather than assuming your own configuration is at fault.
