Usage Data — Overview

A CRM record typically reflects what your team knows about a customer — their contact details, interaction history, deals, and communications. What it rarely contains is how that customer actually uses your product or website: the features they engage with, the pages they visit, the actions they take, and the patterns that signal whether they are deriving value or drifting towards disengagement. That behavioural layer lives separately, in analytics platforms like Google Analytics or Mixpanel, and rarely reaches the sales or account management team in a useful, record-level form.

Zoho CRM's Usage Data feature bridges this gap by importing product and web analytics events from connected analytics platforms and associating them with the corresponding contact and lead records in your CRM. The result is a unified view of each customer that combines relationship and sales data with the behavioural signals needed to inform engagement strategy, churn risk assessment, and upsell timing.

Supported Analytics Sources

Google Analytics

Connect your Google Analytics property to import web behaviour data — page visits, session patterns, goal completions, and campaign touchpoints — and associate them with identified contacts and leads in Zoho CRM. Identity resolution is required to match anonymous GA sessions to known CRM records.

Mixpanel

Connect your Mixpanel project to import product event data — feature usage, conversion funnel progression, in-app actions, and usage frequency — directly into CRM. Mixpanel's user identification model makes record matching more reliable than web analytics, as events are typically attributed to identified users rather than anonymous sessions.

What Usage Data Enables

  • Product-led sales intelligence — sales representatives see product usage signals alongside CRM data, understanding which features a prospect has explored, how actively they are using a trial, and where they are in the product adoption journey.
  • Churn risk detection — declining product usage is one of the earliest indicators of churn risk. With usage data in CRM, account managers can identify accounts where engagement is dropping before the customer escalates or disengages entirely.
  • Upsell signal identification — accounts that are heavily using specific features, hitting usage limits, or exploring areas adjacent to a higher tier are surfacing upsell readiness that usage data makes visible to the account team.
  • Behavioural segmentation — segment customers based on actual product behaviour rather than assumptions, identifying power users, occasional users, and dormant accounts to tailor engagement strategy for each group.

Setting Up Usage Data

  1. Navigate to Setup › Zia › Usage Data. This is the configuration area for the Usage Data feature within your Zoho CRM setup.
  2. Select your analytics source. Choose the platform you want to connect — Google Analytics or Mixpanel — and follow the authorisation steps to grant Zoho CRM access to your analytics data.
  3. Configure the DataPrep pipeline. The Usage Data feature uses Zoho DataPrep to process and transform incoming analytics data before it is mapped to CRM records. Configure the pipeline to define how events are extracted, cleaned, and prepared for import.
  4. Map analytics events to CRM fields. Define how analytics events and attributes should map to fields on your CRM records — which events constitute relevant signals and how usage frequency should be represented.
  5. Enable identity resolution. Configure how an identified analytics user — typically matched by email address or user ID — maps to the corresponding CRM contact or lead record.
Note: Anonymous web sessions (such as pre-login page visits in Google Analytics) cannot be matched to specific CRM contacts without additional identity resolution tooling. Mixpanel's event model, which typically attributes events to authenticated users, generally provides higher match rates than anonymous session-level web analytics data.
