Reading a feature description is one thing, seeing how it might play out in a real working day is another. Here is a plausible scenario showing how a business could use Zoho Cliq's external chat features to run a project with an outside vendor more smoothly than it could over email alone.
The Scenario
Imagine a mid-sized retailer preparing for a seasonal product launch. They rely on an external packaging supplier to deliver custom boxes on a tight schedule, and previously this meant a scattered email chain with the supplier's account manager, copying in the retailer's own operations and design staff whenever a decision was needed. Approvals stalled for a day or two at a time simply because someone was waiting on a reply that got buried in an inbox.
Moving the Conversation Into Cliq
Rather than continuing down the email route, the retailer's operations lead asks their Cliq administrator to enable external chat access, since this is switched off by default. Once that is in place, the team can bring the supplier into the loop directly inside Cliq.
- Add the supplier's account manager as a contact. The operations lead sends a contact invitation using the supplier's email address, which the supplier then accepts, opening up a direct one-to-one chat.
- Use the one-to-one chat for quick, day-to-day questions. Simple things, confirming a delivery date, checking a box dimension, asking whether a sample has shipped, get answered in minutes rather than sitting in an inbox overnight.
- Set up an external channel for the wider launch project. Because several people on both sides need visibility, the operations lead creates an external channel and invites the supplier's account manager along with the retailer's own design and warehouse staff. This keeps the full history of decisions, artwork approvals and delivery updates in one place that everyone involved can see.
- Bring in additional external contacts as needed. When a print specialist from a second, unrelated vendor needs to weigh in on a colour match, they are added to a group chat alongside the packaging supplier, so the conversation covers both external parties without needing a separate email thread for each.
Why This Works Better Than Email
The obvious benefit is speed, questions get answered in near real time rather than waiting for the next email cycle. Less obvious, but arguably more valuable, is that the whole project team, internal and external, can see the same conversation history rather than piecing it together from forwarded threads and reply-alls. When a new person joins the project partway through, they can scroll back through the external channel and catch up quickly instead of asking someone to summarise weeks of email.
