Worked Example: Diagnosing a Stalled Zoho WorkDrive Sync

Sync problems are easier to solve when you follow a consistent routine rather than trying fixes at random. This worked example follows a typical scenario, a shared folder that stops updating on one computer, and shows the order in which to check things and what each result tells you.

Note: This is an illustrative scenario with placeholder names. Menu labels and sync behaviour depend on the version of the desktop app you use, so confirm details against Zoho's current documentation.

The scenario

A user reports that files added to a team folder by colleagues are not appearing on their laptop, and a document they saved yesterday is not visible to others. The web version of WorkDrive shows everything correctly, which already suggests the problem sits with the local sync rather than the stored files.

Step 1: Establish what is affected

  1. Confirm the files are present in the web interface. In this example they are.
  2. Ask whether other folders sync normally. In this example only one team folder is stuck.
  3. Ask whether a colleague on a different device sees the same fault. They do not, which points to this one machine.

Step 2: Check the usual suspects

  • Open the desktop app and look at its status or activity view for paused syncing or an error against the folder.
  • Check free disk space, since a nearly full drive can stop downloads.
  • Look for a file in the folder that is open in another program, or a name containing characters the operating system does not allow.

In this example, the activity view shows one document that failed to upload because it was still open in a word processor, and the queue behind it has not progressed.

Step 3: Apply the fix

  1. Close the document in the word processor.
  2. Pause and resume syncing, or restart the desktop app, so it retries the queue.
  3. If the folder still does not update, sign out of the app and back in before considering a reinstall.

Step 4: Confirm the result

Ask a colleague to add a small test file and check that it appears locally within a reasonable time, then edit it locally and confirm the change shows in the web interface. Only when sync works in both directions should the ticket be treated as resolved. If it does not, note the exact error text and the app version before escalating.
