Kiosks are convenient for CRM users and straightforward to build using Kiosk Studio's no-code interface. Before you start building one, it helps to have a clear idea of the capability you want to deliver.
Questions worth asking before you start
- What is the purpose of the kiosk?
- How does the user get this work done today, and where are the friction points?
- Where should the kiosk be placed to make it convenient for people to use?
- What are the steps in the kiosk's flow, and what details need to be shown or collected at each one?
- What should be automated, and when should those automatic actions fire? Should updates happen after each step, or all together at the end?
- How will you test the kiosk?
Managing your kiosks
Go to Setup, then Customization, then Kiosk Studio, to create new kiosks and manage existing ones. From here you can click Create Kiosk to start a new one, and see a list of your existing kiosks showing each one's Name, Description, and who last modified it, along with the date and time, hovering over which also shows who originally created it and when. Each kiosk's Status shows as Active, Inactive, or Draft, and once published, you can toggle a kiosk active or inactive directly from this list.
Note: You can only deactivate a kiosk that isn't currently associated with a home page, custom button, or setup page.
Inside the Kiosk Studio builder
Within the builder, you can click the plus icon to add and configure an element (Screen, Decision, or Action). If the kiosk will mainly be accessed from a specific record, use Set Module to choose that module, which makes the Current Record variable available so you can access that record's fields. If the kiosk is accessed from outside a record detail page or module list view, Current Record will simply be null. The builder also lists every GetRecords component and Query configured for the kiosk, where you can edit or preview them, and gives you Publish and Test Run buttons, along with a More menu offering further options such as deleting the kiosk.
Important: Clicking Test Run actually accesses the kiosk from within Kiosk Studio and executes every configured action for real. To test safely, build your kiosks in a sandbox first and deploy them to production once you're confident they work correctly.
When you open an existing kiosk, you can switch between its published and draft versions, view the current module and other components such as GetRecords, view every place in the CRM the published version is associated with, test run it, and access further options like Edit, Clone, Deactivate, and Delete. Once editing, you can add an element to any branch with the plus icon, click an existing element to edit or delete it (with a Preview option for screens), and use the left-hand tab to edit the current record's module or edit and delete a GetRecords component.
How to create a kiosk
- Open Kiosk Studio. Go to Setup, then Customization, then Kiosk Studio.
- Start a new kiosk. Click Create Kiosk.
- Name it. In the Create Kiosk pop-up, enter a Kiosk Name and Description.
- Build the flow. Click the plus icon in Kiosk Studio and start adding elements. Every element and screen name needs to be unique, since these names are used to reference them elsewhere in the kiosk.
- Test it. Click Test Run at any point, remembering this will actually execute your configured actions.
- Publish. Once satisfied, click Publish.
- Choose where it lives. Directly from Kiosk Studio, choose where to host the kiosk, such as the Home page, Setup page, as a Custom Button, on a Record Detail View, in a Blueprint, or on a Canvas. If you've already associated other kiosks, you can view them from this same pop-up.
Once published and placed, your kiosk is ready for CRM users to access.
Associating a kiosk with different parts of the CRM
A single kiosk can be placed in more than one location. Here's how to add it to each:
Home page
- Go to the home page and select the home page view you want to add the kiosk to.
- Click the more (…) icon and select Add Component.
- Select Kiosk in the Add Component pop-up, then click Next.
- Click Use next to the kiosk you need.
- Enter a Component Name and click Save.
By default, the kiosk component is added towards the bottom of the page. You can click the more icon and select Reorder to move it wherever you'd like.
Custom buttons
- Go to Setup, then Customization, then Modules and Fields, and click the relevant module under the Modules tab.
- Click the Buttons tab, then + New Button.
- Enter a name and description for the button.
- Choose where the button should appear: Details Page, List View - Utility Menu, or List View - Each Record.
- Under "What action would you like the button to perform?" select Kiosk.
- Click Use next to the kiosk you need.
- Add the profiles that should be able to access it, then click Save.
Note: Because custom buttons are available in Canvas, kiosks can be accessed from Canvas pages this way too.
Setup page
- Go to Setup and click Customize Setup.
- In the Setup Layout Editor, click + Menu in a new or existing group.
- Enter a submenu name in the Menu Properties pop-up.
- Under Source, select Kiosk.
- Click the link icon under Action.
- Click Use next to the kiosk you need, then click Done.
Canvas record detail page
- In the Canvas Builder, select the Data tab.
- Under Kiosk, drag and drop the kiosk you want onto the canvas page.
- Click Save.
A Blueprint's During transition
- Go to Setup, then Blueprint under Process Management, and click + Create Blueprint.
- Enter the blueprint's name and choose a module, layout, and picklist field, then set criteria and click Next.
- Add and connect your states.
- Add transitions and configure them as buttons: set up the Before transition to decide who is responsible for it, configure During transition by clicking + Add, selecting Kiosk, and clicking Associate to add the kiosk, and configure After transition for whatever should happen next.
- Click Publish to save the blueprint.
Record Detail View
- Go to the Leads or Contacts module and open the record you want to add a kiosk to.
- Click the more (···) option at the top left of the record's detail page.
- Select Add Kiosk and click Associate.
Editing a kiosk
- Go to Setup, then Customization, then Kiosk Studio.
- Click the kiosk you want to change.
- Click Edit, make your changes, and click Publish.
Note: A kiosk can only be used once it has been published and is Active.
Deleting a kiosk
- Go to Setup, then Customization, then Kiosk Studio.
- Hover over the kiosk you want to remove and click the Trash icon.
- Click Delete in the confirmation pop-up.
Note: A kiosk can only be deleted once it is not associated with any other place in the CRM. You will need to remove those associations first.
