Once a dashboard has been published in Zoho Analytics, viewers can interact with it in a range of ways to explore data more deeply, apply filters, and share insights with colleagues. Understanding these features helps you get the most from your analytical investment.

Viewing Underlying Data

Click on a data point in any chart and select View Underlying Data to see the individual records that contribute to that value. To view all data for an entire report, use the More option and select the corresponding view. This is useful for verifying figures or investigating unexpected results.

Zia Insights on Data Points

Selecting a data point on a chart reveals the option to view Zia Insights for that specific value. Zia provides a deeper analytical explanation of the data point, covering descriptive context, possible contributing factors, and predictive context where applicable. This helps viewers understand not just what the number is, but why it looks the way it does.

Drill Down

Drill-down allows you to click into a data point and visualise the underlying breakdown as a chart. You can use preset drill paths configured by the dashboard owner, or choose dynamically which column to drill down by using the Drill Down By option. Drill-down access requires permission from the dashboard owner.

Changing Chart Types

Viewers can temporarily switch the visualisation type of an embedded chart using the Change Chart Type option. This allows you to explore the data in a different format without altering the original dashboard design. Changes apply only to your current viewing session and are not saved.

User Filters

If the dashboard owner has added user filters, you can apply them to focus the dashboard on specific segments, date ranges, or categories without editing the underlying reports. Filters can be scoped to affect all reports or only selected ones depending on how the dashboard has been configured.

Exporting and Sharing

Dashboards can be exported in multiple formats:

• CSV: Data export for use in spreadsheet tools.
• HTML: A web-friendly format for embedding in other pages.
• PDF: A layout-preserving document, available as full page or single-page.
• PPT: A PowerPoint presentation format for meeting and reporting use.

All export formats support optional password protection. Dashboards can also be emailed as HTML or PDF with a custom subject line, message, and scheduled recurring delivery.

Sharing Permissions

Dashboard owners can assign granular access permissions to individual users, including Read, View Underlying Data, Drill Down, Export, and Share capabilities. This ensures that sensitive data remains protected whilst the insights are shared with the right people.
