Once data is in a Zoho Analytics table, a rich set of tools lets you explore, organise, and manage it without leaving the platform. This guide covers the key operations available when working directly with table data.

Searching and Filtering

Search scans all columns for matching keywords. Type in the search box and click the magnifying glass icon to display matching rows.

Filter allows criteria-based row selection across multiple columns simultaneously. The filter panel adapts its options to each column's data type, supporting numeric ranges, date ranges, individual values, and partial text matches. You can save filter configurations for reuse, hide the filter pane, clear applied filters, or permanently delete the rows that meet a filter.

Sorting and Organising Columns

• Sort - Rearrange rows numerically, alphabetically, or by date using column header arrows or the Sort menu. Choose ascending, descending, or remove the sort entirely.
• Reorder columns - Drag a column header to a new position in the table.
• Resize columns - Drag the column border to adjust width.
• Show/Hide columns - Toggle column visibility via the More menu, and reorder the column display order.
• Freeze columns - Keep key identifier columns visible during horizontal scrolling.

Data Modification Tools

Find and Replace

Requires Write permissions. Locate values in specified columns and substitute them in bulk. Options include matching the entire cell content, excluding null values, and case-sensitive matching.

Split Column

Divide a concatenated column into multiple formula columns using a specified separator of up to 10 characters. Compatible with text, multi-line text, email, and URL data types.

Column Formatting and Display

The Format Column option customises how data appears in the table and any reports built from it. Options vary by data type:

• Numeric - Alignment, currency symbols, scale units (thousands/millions/billions), decimal places, negative number style, and separators.
• Date - Alignment and custom date format selection.
• Duration - Alignment and duration format.
• Text - Horizontal alignment.
• URL - Alignment, alternate display text, and image rendering options.

Conditional Formatting

Highlight cells by applying background and font colours based on specified conditions. Multiple rules can be stacked to create a clear visual hierarchy in your data.

Custom Sort Order

Define a custom sort sequence for text columns, applied globally across all reports using that column. Manually arrange values or apply ascending/descending order for columns with more than 50 distinct values.

Table-Level Operations

• Copy a table - Duplicate the table with or without data, retaining formatting, formulas, and optionally lookup relationships.
• Export - Download table data as CSV, PDF, HTML, or Excel (XLS).
• Share - Grant other users access with administrator-defined permissions.
• Publish - Embed the table in a website, create a gadget, or generate a shareable URL with access controls.
