Deploying a Zia Agent: A Two-Step Process

Deployment follows a structured two-step approach that gives you control over how the agent operates and how its actions are logged.

Step 1 — Create or Hire an Agent

Begin in the Zia Agents portal. Here you define the agent's purpose, configure its instructions, link it to a knowledge base, assign tool groups, and establish its connections to external systems. If you prefer a ready-made option, the Agent Store contains pre-built agents that can be tailored to your CRM setup. It is strongly recommended to test using sample CRM data before moving to live deployment.

Step 2 — Deploy into Zoho CRM

Two deployment modes are available, each suited to different operational requirements:

  • Deploy using Connection: The agent operates under the identity of the user who deploys it. Actions it performs are logged against that user's account. Authentication can be configured as "Login With User" (scoped to the current participant in each interaction) or "Fixed" (a single, consistent identity).
  • Deploy as Digital Employee: The agent is registered as a distinct entity within Zoho CRM, with its own role, profile, and a dedicated @ziaagents.ai email address. All actions are logged under the agent's identity, providing a clear audit trail and full role-based access control.
Choosing your deployment mode: For organisations with compliance or audit requirements, deploying as a Digital Employee is the recommended approach. It provides clear separation between human and AI-driven actions in your CRM records.

Managing Deployed Agents

Once deployed, agents are visible under Setup › General › Agents in the Configured view. From here, administrators can:

  • Control which users can interact with each agent via Agent Switcher profiles.
  • Set Autonomous Trigger conditions to define when an agent activates without user input.
  • Add Custom Buttons to allow team members to invoke agents on demand from specific CRM records.
