Notes are one of the most valuable — and most underused — parts of Zoho CRM. When a team makes a habit of logging customer interactions, the result is a rich history of conversations, concerns, commitments, and context that no other system captures so organically. The problem is volume: a busy account with dozens of touchpoints can accumulate notes that take ten minutes to read through before every call. Zia Note Summary addresses this directly — using generative AI to automatically condense the notes on a record into a brief, readable overview so your team arrives at every conversation already briefed.

How to Generate a Note Summary
The process requires no configuration beyond ensuring the feature is enabled for your organisation:
- Open any CRM record — a Contact, Account, Lead, or Deal — and navigate to the Notes section.
- Click the “Summarise note(s)” button. This triggers Zia’s generative AI to analyse the available notes.
- Review the summary output. Zia presents two distinct summary types for you to choose from.
Two Summary Modes
- Last Note Summary: Focuses on the most recent note entry. Ideal for quickly recalling what was discussed or agreed in the last interaction, without reading the full note text.
- Overall Summary: Draws on all available notes to produce a comprehensive overview of the customer relationship history. Best used before important meetings or during account handovers.
Practical Use Cases
- Pre-call preparation: Generate an overall summary before a customer call to refresh your context in under 30 seconds rather than several minutes.
- Account handovers: When ownership of an account changes, the incoming person gets an instant briefing from the notes history without reconstructing it manually.
- Service follow-ups: Customer service teams can review the Last Note Summary to pick up exactly where the previous interaction ended.
- Management reviews: Managers reviewing accounts or deals can use Overall Summary to assess progress quickly without reading full note histories.
Recommended Practices
The quality of AI summaries depends heavily on the quality of the notes being logged. Teams that get the most from Zia Note Summary tend to follow these habits:
- Use both summary types in combination — Last Note for recency, Overall for broader context
- Incorporate note summary outputs into handover emails or pre-meeting briefs shared with colleagues
- Use the time saved from manual review to focus on identifying and prioritising actionable next steps
- Establish a note-writing standard for your team — the more consistently notes are written, the more useful the AI summaries become
