If your Zoho Campaigns contact count doesn't match your Zoho CRM Contacts (or Leads) count, this is usually explained by one or more of the following, rather than a sync bug.
Common reasons for a mismatch
- Missing or invalid email addresses. A CRM record with no email address, or an obviously invalid one, can't sync into Zoho Campaigns as a contact.
- Records added after the last sync. If your fetch interval is daily, weekly, or monthly rather than immediate, new or recently updated CRM records simply haven't synced yet.
- Records outside the synced module. If your sync is set up for Leads only, Contacts created directly (or vice versa) won't appear, since each module needs its own sync.
- Duplicate contacts consolidated in Campaigns. If the same email address exists on more than one CRM record, Zoho Campaigns generally treats it as a single contact, so your Campaigns count can be lower than your combined CRM record count even with sync working correctly.
- Plan contact limit reached. Without Auto-Upgrade enabled, sync stops once you exceed your Zoho Campaigns plan's contact limit, leaving the remaining CRM records unsynced until you upgrade.
Where to check first
Check your Import History in Zoho Campaigns for the sync, which shows exactly how many records were fetched and whether any failed, and check your sync configuration to confirm which module and fetch interval are actually set.
