Blueprints streamline processes, guiding users through each stage to ensure compliance with required steps. To progress in a blueprint, users must enter the necessary information.

The Case For Zoho CRM Blueprints Optional Fields

While blueprints maintain strict process adherence, challenges can arise in specific scenarios, such as the lead qualification process:
  1. Sales Development Rep (SDR): SDRs gather details like company size, budget, and other factors to qualify a lead.
  2. Account Executive (AE): AEs continue the process, exploring specific needs, pain points, decision processes, and more.
Customers, unlike SDRs and AEs, may share specific details directly with SDRs, posing a dilemma for admins designing blueprints. Should these fields be mandatory for the SDR, and if yes, how should the SDR proceed if the information isn't available? To address this, admins previously resorted to workarounds, making blueprints more challenging to configure, maintain, and use.

Use Optional Fields to Enhance Your Blueprints

CRM blueprints can now incorporate optional fields in stage transitions, providing flexibility in meeting diverse process needs. For instance, admins can make specific fields optional for the SDR's transition:
  1. Detailed feedback fields in ticket resolution processes if the customer willingly provides information.
  2. Additional task details (estimated time, priority level, dependencies) in task management blueprints.
  3. Recording preferences and additional information in registration processes, covering accessibility requirements, motivations for participation, areas of interest, etc.
  4. Order fulfillment blueprints with fields related to order consolidation for combined shipments.
To implement this, go to a blueprint's transition form and mark the relevant fields as optional or mandatory based on your needs. Previously, every field in the transition form was mandatory. Users can now proceed to the next stage in a blueprint even if optional fields aren't filled. You can select the following items as optional:
  1. Fields from the primary blueprint module and related modules
  2. Checklist items
  3. Notes, tags, and attachments
  4. Other fields added under Associated Items (tasks, meetings, etc.)

Save as Draft

A "Save as Draft" button has been added to the transition form, allowing transition owners to manually save completed fields and continue later.

Moving Notes, Tags, and Attachments

Zoho have improved accessibility by placing notes, tags, and attachments in relevant locations within the UI. This change sets the stage for future improvements, consolidating them under the "Add" button menu:
  1. Tags are available when you click the + Add button.
  2. Notes and attachments are available under + Add > Associated Items.
