Zoho CRM QuickBooks Online Integration: Setup and Sync

Zoho CRM and QuickBooks Online: Native Integration

Zoho CRM now has a native integration with QuickBooks Online that synchronises your CRM data with your QuickBooks accounting records. It is designed to close the gap between sales and finance, so a closed deal flows into invoicing and payment without spreadsheet imports, manual re-entry, or third-party connectors.

Availability and pricing: the integration is available in the Professional edition of Zoho CRM and above. It was announced in February 2026 for Enterprise and above, and Zoho extended it to Professional in October 2026. At the time of writing it carries no additional cost, although Zoho says pricing may be introduced in the future. Zoho's original announcement refers to the product as QuickBooks Web in places and QuickBooks Online in others, and this article uses QuickBooks Online.

The problem it solves

Sales teams work in Zoho CRM, moving deals forward. Finance teams work in an accounting system, tracking invoices, payments, and revenue. When data moves between the two by spreadsheet, re-keying, or a connector, the disconnect tends to produce:

  • Duplicate records across the sales and finance systems.
  • Delays between CRM and accounting data.
  • Little visibility for sales into invoice and payment status.
  • More time spent reconciling data than serving customers.

How the two systems divide the work

Zoho's product team set out clear roles for each system. QuickBooks stays the system of record for all financial transactions. Zoho CRM is where sales teams operate: they see financial information there, act on it, and automate what happens next. Because it is built natively rather than as a fragile connector or add-on module, financial data appears where CRM users already work.

What syncs, and in which direction

Direction Modules
Two-way syncContacts, Accounts, Vendors, Products
One-way sync, from QuickBooks to CRMEstimates, Invoices, Purchase Orders

This keeps customer and product data aligned in both systems, with no confusion about where each kind of record lives.

Seeing finance data in CRM

  • QuickBooks financial documents appear directly in Zoho CRM, with the relevant details on each CRM record's detail page.
  • Where needed, a QuickBooks Record Link lets users open the matching record in QuickBooks.
  • As a native integration, every synced field is available in workflows, blueprints, reports, and notifications. That lets you automate around real financial events such as an invoice status change, an estimate being accepted, or a payment becoming overdue, and run sales and finance processes end to end without leaving CRM.

Connect Zoho CRM to QuickBooks and set up the sync

Install and authorise

  1. In Zoho CRM, go to Marketplace, then Integrations, then QuickBooks, and click Install.
  2. Authorise your QuickBooks account. If you have more than one QuickBooks company, choose the one you want to connect.
  3. Choose the CRM modules you want to sync.

Configure the data flow

  1. Set the sync direction: two-way for Contacts, Accounts, Vendors, and Products, and one-way from QuickBooks to CRM for Estimates, Invoices, and Purchase Orders.
  2. Map fields between QuickBooks and Zoho CRM.
  3. If you need a field that does not exist yet, create a new CRM field directly from the mapping screen.

The result is that Zoho CRM is connected to the right QuickBooks company, and you control exactly which data syncs and how it appears in CRM.

Create and track financial records from CRM

When a user clicks Create Estimate, Create Invoice, or Create Purchase Order in Zoho CRM:

  1. They are redirected to QuickBooks.
  2. The record is created and saved in QuickBooks.
  3. It syncs back to Zoho CRM automatically and appears there as read-only (locked).
Note: any change to one of these records must be made in QuickBooks. For example, if you update an estimate's status in QuickBooks, the change is reflected automatically in Zoho CRM. If a sync attempt fails, that record is not synced and a clear error message explains why.

What this means for sales teams

Sales teams no longer need to switch between systems to follow post-deal activity. From inside Zoho CRM they can:

  • See the status of invoices and estimates in real time.
  • Create financial documents directly from CRM.
  • Trigger follow-ups automatically when a financial event happens.
  • Report on pipeline and billing information together.

That turns CRM from a pipeline tracker into a hub for revenue operations, with full visibility and control over both sales and finance workflows.
