Approving Records in Zoho CRM: Import and Web Form Approval

Zoho CRM Approving Records

When records enter Zoho CRM through Import or Web Forms, you can require them to be manually approved before they're treated as live records, giving you a chance to check data quality before it reaches your main pipeline.

How to approve records

  1. Open the module's approval page. Go to the relevant module, and open its Approval page.
  2. Select the records to approve. Tick the records that are ready to be approved.
  3. Approve them. Click Approve.
Note: This manual approval option needs to be enabled specifically on your Import and Web Form configuration for it to apply, since records don't require approval by default.

This is different from the full Approval Process feature

It's worth distinguishing this simple import and web form approval from Zoho CRM's separate, more powerful Approval Process feature, which lets you require sign-off on records based on field criteria, such as routing any deal over a certain amount to a manager for approval before it can proceed. That feature supports a range of approver types, including Manager, specific Users, Role, hierarchy Level, record Owner, or a Group, and records awaiting approval there are locked from editing by default, with resubmission required within 60 days if rejected.

Recent enhancement: Zoho has since made records pending approval in that fuller Approval Process editable rather than fully locked, added the option to designate Process Admins for extra oversight, and given role or group-based approvals a choice between requiring Anyone in the group to approve, or Everyone in the group.
