The Image Upload field lets users attach a picture directly to a Zoho CRM record, such as a product photograph, a site photo or a profile image. This guide looks at the configuration decisions an administrator should make before adding one, and the points that most often cause confusion afterwards.
Note: Field limits, supported file types and the number of image fields allowed per module vary by edition and may change. Verify the exact figures in Zoho's current documentation and your own CRM edition before you plan a design around them.
Before you add the field
- Decide which module genuinely needs an image, rather than adding one to every module by default.
- Check how many custom fields your edition allows, since each new field counts towards that allowance.
- Confirm whether the image needs to appear anywhere beyond the record itself, for example in a template or a mobile view.
Adding the field to a layout
- Open Setup and go to the Modules and Fields area for the relevant module.
- Open the layout you want to change and locate the Image Upload field type in the new-field list.
- Drag it into the section where users will expect to see it, then give it a clear label.
- Review the field properties, including any option to make it mandatory, and save the layout.
Permissions and visibility
Like other fields, an image field is subject to field-level permissions set through profiles. If a user reports that they cannot see or change the image, check the profile's field permissions first, then confirm the field is placed on the layout assigned to that user's profile. Where several layouts exist for one module, it is easy to add the field to only one of them.
Common pitfalls
- Uploading very large files can fail or slow the page. Resize images before upload where you can.
- Unsupported file types are rejected, so tell users which formats to use.
- Bulk import and API behaviour for image fields can differ from manual upload, so test with a small batch before relying on it.
Testing checklist
Create a test record, upload an image, view it as a user on each relevant profile, and confirm it displays as expected on desktop and mobile. Doing this in a sandbox, where your edition provides one, avoids surprises in production.
