Workflow Rules can now do more than trigger predefined actions. A deployed Zia Agent can be invoked directly as a workflow rule action, bringing contextual, AI-powered decisions into your automated processes, rather than every automated action following the same fixed script regardless of the specific record involved.
The Workflow Rule provides the trigger and record context, deciding when the agent should run. The Zia Agent itself, using its own configured tools and instructions, decides how to carry out the task based on that context. This is the genuine shift from older automation: rather than every matching record getting an identical, predefined action, the agent can weigh the specific details of that record and respond accordingly.
Consider a workflow rule that triggers when a Task's due date passes with no update. Rather than sending the same generic reminder email to every overdue task's owner, the rule could invoke an escalation agent equipped with tools to read the task's related Deal or Contact record. The agent could then decide, based on that context, whether to simply nudge the assigned rep, loop in their manager if the related deal is above a certain value, or flag the task as genuinely stalled if there's been no activity on the related record at all, rather than treating every overdue task identically regardless of what's actually at stake.
A Zia Agent needs to be created, configured with the instructions, tools, and connections it needs, and deployed from the Zia Agents page before it can be selected as a workflow action. Configuring what the agent can actually do is a separate step from wiring it into a workflow.
