Zoho CRM's Google Calendar integration now carries online meeting links. When you create an online meeting in Zoho CRM with a supported meeting provider, the meeting URL is included in the matching Google Calendar event, so you can open the link from your calendar without going back to the CRM. If the URL later changes in Zoho CRM, the change is passed on to Google Calendar the next time it syncs.
What is new
| Before |
Now |
| A synced Google Calendar event carried the subject, date, time, and description. | It also carries the online meeting URL generated in Zoho CRM. |
| To find the meeting link, you went back to the meeting in Zoho CRM. | You open the Google Calendar event and use the link there. |
| A changed link in Zoho CRM had no way of reaching the calendar event. | A changed link is updated in Google Calendar during synchronisation. |
How it works
- Create an online meeting in Zoho CRM using one of the supported meeting providers. The provider generates a meeting URL, which is attached to the meeting record.
- The meeting syncs to Google Calendar for any user who has switched on calendar synchronisation.
- The Google Calendar event includes the meeting URL alongside the other details, and you open the event to use it.
- If the URL is updated in Zoho CRM, the new one reaches the calendar event at the next sync.
It applies only to users who have enabled calendar synchronisation. A user who has not switched it on will not see the link in Google Calendar.
What the announcement does not say
- Which meeting providers are supported.
- Whether meetings that already exist are updated, or only meetings created after the change.
- How long a sync takes, so how soon a changed link appears in the calendar.
- Whether a change made to the link on the Google Calendar side flows back to Zoho CRM. The announcement describes the link going from Zoho CRM to Google Calendar only.
What to check
This section is our own advice, not Zoho's.
- Test with your own meeting provider. Create a meeting in Zoho CRM, confirm the link appears in the Google Calendar event, then change the link and confirm the update arrives.
- Remember who can see the calendar. A meeting link in a calendar event is visible to anyone who can open that event's details, including people a calendar is shared with. Check your sharing settings, especially for meetings with customers and for any private or sensitive discussions.
- Check every user has sync switched on, if you want the link to appear for the whole team.
- Let people know. If colleagues have been sending the meeting link separately, tell them what to expect in the calendar, so links are not duplicated or sent from two places.
