Rather than a step-by-step guide to changing your Zoho subscription itself, since those exact screens can and do change, this article sets out a practical checklist of things to check, back up and confirm before and after moving from Zoho CRM Plus to standalone Zoho CRM.
Before you change anything
- Audit which CRM Plus apps are genuinely in use. Look at actual login and activity data for each app in the bundle, not just what was originally intended when you signed up, since usage often drifts a lot over time.
- List anything built across apps. Note any workflows, automations, reports or dashboards in Zoho CRM that pull in or push out to another CRM Plus app, so you know what might break if that app is no longer part of your plan.
- Export or back up data from apps you are dropping. Anything held in the other CRM Plus apps, such as tickets, campaigns, survey responses or chat transcripts, is worth exporting or archiving somewhere safe if you might need it later, since it will not be part of standalone CRM.
- Check your billing cycle and contract terms. Note your renewal date and whether you are on a monthly or annual commitment, as this can affect the timing and cost of a plan change.
- Map your feature needs to a standalone CRM edition. Identify which CRM features your team actually relies on day to day, and check which standalone CRM edition covers them, rather than assuming any edition will do.
- Confirm the current process with Zoho or a partner before acting. Speak to Zoho's billing and subscription support, or to 1 Cloud Consultants, to confirm the exact current route for your account before you touch the live subscription.
After the change is made
- Test the workflows and automations you rely on. Confirm anything you noted earlier still runs as expected, and fix or rebuild anything that referenced an app you no longer have.
- Check user access and roles. Make sure everyone who needs access to standalone CRM still has it, and that permissions still reflect who should see what.
- Review your next invoice. Confirm the billing reflects the plan you intended to move to, and query anything that looks off with Zoho promptly.
- Store your exported data somewhere accessible. Keep whatever you exported from the dropped apps somewhere your team can find it later if a question comes up about historical tickets, campaigns or responses.
- Update your own internal documentation. If any internal guides or onboarding materials reference the old CRM Plus apps, update them so new starters are not pointed at tools you no longer use.
