Moving from Zoho CRM Plus to standalone Zoho CRM is, at heart, a change to your subscription and plan rather than a technical data migration. That said, it is rarely as simple as picking a different plan on a pricing page, because CRM Plus ties several applications together, and unpicking that bundle can have knock-on effects. This article goes into more depth on what tends to be involved conceptually, so you know what to check before you start.
It is fundamentally a subscription and billing change
Your Zoho CRM Plus subscription sits on a billing cycle, whether monthly or annual, and typically covers a set number of user licences across the whole bundle. Moving to standalone Zoho CRM generally means changing what you are subscribed to rather than exporting your CRM out of one system and into another, since the CRM module itself is common to both. That said, the practical route between the two, whether that is a direct plan switch, or cancelling one subscription and starting another, is something Zoho has adjusted over time, and we would not want to assert a specific sequence of steps here without you confirming it is still accurate.
Billing implications worth thinking through
- Contract term and timing: if you are partway through an annual commitment, changing plans partway through may work differently than at renewal, and there may be proration or credit involved that is worth understanding in advance.
- Per-user cost comparison: standalone CRM editions and CRM Plus are priced differently per user, so the saving is not always as large as it first appears once you pick the CRM edition with the features you actually need.
- Add-ons and extra storage: any additional storage, add-ons or extensions purchased against the CRM Plus subscription may need to be reviewed separately, since they are not guaranteed to carry across automatically.
Feature and data dependencies on other CRM Plus apps
This is usually the part that catches businesses out, because CRM Plus apps are designed to talk to one another, and it is easy to forget where those connections are. Before changing plans, it is worth checking for things such as:
- Workflows or automations in Zoho CRM that trigger actions in another CRM Plus app, such as raising a support ticket, sending a marketing campaign, or logging a chat conversation, since these may stop functioning if the other app is no longer part of your subscription.
- Reports or dashboards that blend data from more than one app, which would lose access to the non-CRM data source once that app drops off the subscription.
- Records, tickets, campaigns or conversations that live inside the other apps and would not be part of standalone CRM at all, so consider whether that information needs to be retained or exported somewhere else first.
- User permissions and roles that were set up with the full bundle in mind, which may need reviewing once some apps are no longer available to those users.
Choosing the right standalone CRM edition
Standalone Zoho CRM comes in several editions, each unlocking different levels of automation, customisation, storage and reporting. It is worth mapping the features your team actually relies on today, particularly anything used heavily inside CRM Plus, against the standalone editions, so you do not accidentally step down into a tier that removes something business-critical.
Note: We have deliberately avoided setting out exact menu paths or click-by-click steps in this article, because Zoho's subscription management process for CRM Plus and Zoho CRM has changed more than once, and an older set of steps found online, including some older articles of our own, may no longer match what you see in your account. Please verify the current process using Zoho's own billing and subscription documentation, or speak to 1 Cloud Consultants, before making a change of this kind, since getting it wrong can affect your data access or your billing.
