Public forms built with the Zoho Forms integration can now be filled in with data from Zoho CRM. A new option, Pre-fill public forms with CRM data, lets the person completing a public form search for a CRM record, pick the right one, and watch the form fill itself in. As a CRM administrator you decide exactly what can be pulled from your CRM, down to each field.
Until now, a public form could only be filled in with data from a single record: the one linked in the form's web address. The person completing the form could not look anything else up in your CRM. That protected your data, but it got in the way whenever people needed to choose a record themselves. A customer raising a support request could not pick the account it was for, and a partner could not choose the deal their submission belonged to. Public forms needed a way to let people find the right record without opening your CRM to everyone.
Zoho's announcement does not give the exact menu path to the settings page, so look for the option within your Zoho Forms integration settings in Zoho CRM.
You can stop sharing at any time by turning the option off. You do not need to disable the whole Zoho Forms integration. Public forms stop pulling details from your CRM immediately, and your module and field choices are saved for when you turn it back on.
| Sector | Example |
|---|---|
| Customer support | A software company shares one public support form with all its customers. A customer searches for their company name and picks it, so the request is linked to the right account from the start and the support team sees the customer's history straight away. |
| Manufacturing | An appliance maker shares a public warranty registration form. The buyer searches for the model they bought, and the form fills in the product name and code. Every registration is tied to the right product. |
| Wholesale and distribution | A distributor adds a bulk order enquiry form to its website. Shop owners search the product catalogue and pick what they want, and the sales team receives enquiries with the correct product details, with no guessing over similar-sounding names. |
