Zoho CRM Services Module Update: New Appointment Booking, Scheduling and Permission Features

Zoho CRM has rolled out a significant set of enhancements to the Services module, giving businesses far more control over how appointments are booked, how service availability is managed, and who can see or act on what. Whether you run a salon, a consultancy, or any other appointment-led business, these changes are designed to remove the manual workarounds that many teams have relied on until now.

Book Appointments for Leads, Accounts and Vendors

Previously, appointments could only be linked to Contacts or custom modules. That restriction has now been lifted.

  • Appointments can now be booked directly against Leads, Accounts and Vendors, as well as Contacts and custom modules.
  • When booking against an Account, you can also select a specific Contact lookup, so the appointment is tied to the right individual within that organisation rather than the account as a whole.

Smarter Control Over Service Availability

Three changes make it easier to keep a service menu accurate without disrupting bookings that are already in place.

  1. Schedule when a service becomes not-in-use. Marking a service inactive used to take effect straight away. It can now be scheduled for a future date, and you will be prompted to either cancel any pending appointments or leave them to run as planned before the service is deactivated. For example, a seasonal package that ends in August can be set to stop appearing on the menu from 1 September, while any bookings already made for August remain unaffected.
  2. A new Scheduled status. When availability is set for a future date, the service now shows as Scheduled rather than appearing active before it should. This keeps the current menu clean while still giving visibility of what is coming up, such as a new package due to launch in a few months' time.
  3. Unique service names by default. The Service Name field now has the Do not allow duplicate values setting switched on automatically, preventing two team members from accidentally creating the same service twice.

More Flexible Time Slot Configuration

Under Custom Time availability, up to three separate time slots can now be defined for a single service. This suits businesses that run the same service across distinct windows in the day, such as a morning, afternoon and evening slot, without needing to set each one up as a separate service.

Granular Appointment Permissions

Appointment permissions previously covered only View, Create, Edit and Delete. Three further profile-level permissions have been introduced to give administrators much finer control:

  • Mark as complete
  • Reschedule
  • Cancel

This means, for instance, that junior staff can be limited to viewing and creating appointments, while rescheduling and marking appointments complete is reserved for more senior team members.

Read-Only Access to Linked Records for Service Members

A new preference automatically shares the record an appointment is booked against, for example a contact's profile, with the service members assigned to that appointment, on a read-only basis. Access is limited to that specific record rather than opening up the whole module, and it is created the moment the appointment is booked and kept up to date automatically if the assigned member or linked record changes. For anyone on a Service Member profile, this access is always read-only regardless of how the preference is set, so a team member handling one appointment can see relevant notes and history for that client without being able to browse or edit every record in the system.

Record Locking Extended to Appointments and Services

Record locking, already familiar from other Zoho CRM modules, now applies to Appointments and Services as well.

  • Three actions can be restricted once an Appointment reaches a certain stage: Mark as complete, Reschedule Appointment and Cancel Appointment.
  • The detail view now lists every restricted action for a record, so it is immediately clear what is locked.
  • The fields that remain editable on a locked Appointment have been expanded to include Reschedule, Cancel and Jobsheet.
  • For Services, record locking behaves exactly as it does across the rest of Zoho CRM, with no change to the existing setup.
Note: A common use of this feature is to lock an Appointment automatically once it is marked complete, preventing anyone from later rescheduling or cancelling a booking that has already taken place, and to lock Service records once they are published so only senior staff can amend pricing or duration.

Greater Flexibility with Lookups and Module Renaming

Two further changes make the Services and Appointments modules easier to fit around existing processes.

  • Lookup support. Services and Appointments can now be added as lookup fields in other standard or custom modules. A custom Feedback Forms module, for example, could include an Appointment lookup so that every review can be traced straight back to the appointment and stylist it relates to.
  • Module renaming. The Services and Appointments modules can now be renamed to match how a business actually refers to them internally and with clients, for instance renaming Appointments to Bookings, without affecting any of the underlying data, permissions or configuration.
