Zoho Flow Settings: Configuring Your Account and Preferences

The Settings area in Zoho Flow is where you manage the account-level configuration that governs how your entire Flow environment behaves. From user management and API access to notification preferences and on-premise agent setup, understanding the available settings helps you tailor Zoho Flow to your organisation's needs.

Accessing Settings

Click the Settings option in the left-hand navigation panel within Zoho Flow. The settings are grouped into logical categories, each covering a different aspect of the platform's configuration.

Team Management

Zoho Flow supports collaboration across a team. In the Team settings, administrators can invite colleagues by email, assign them roles (such as Admin or Member), and control what each user can see and do within the account. Team members can share flows, connections, and subflows, which prevents duplication of effort and ensures that integrations are maintained centrally rather than individually.

Removing a team member does not automatically delete their flows. Administrators can transfer ownership of flows before removing a user to ensure continuity.

On-Premise Agent Management

If your organisation uses on-premise applications, the On-Premise Apps section of Settings is where you download and manage the on-premise agent. You can view connected agents, check their status, and generate new agent tokens from here. If an agent goes offline, this panel is the first place to check.

API Keys

Zoho Flow provides an API that allows external systems to trigger flows programmatically or interact with your Flow account. In the API section of Settings, you can generate and manage API keys. Keep these keys secure: treat them as passwords and rotate them if you suspect they have been compromised.

Notification Preferences

Control how and when you are notified about flow activity. You can configure email alerts for flow failures, connection errors, and other important events. Setting up these notifications ensures that your team is alerted promptly when an automation stops working, rather than discovering the problem only when a downstream process is affected.

Data Retention

Flow run history is retained for a period that depends on your subscription tier. In Settings you can see your current retention period. If your organisation has compliance or auditing requirements that demand a longer run history, upgrading to a higher-tier plan extends the retention window.

Timezone Settings

If you use schedule triggers in your flows, the account timezone setting determines the reference time for those schedules. Confirm that your account timezone is set correctly, particularly if your team spans multiple time zones or if your flows are scheduled to run at specific local times.

Connected Apps and OAuth Management

The Connections section within Settings provides an overview of all apps that have been authorised to work with your Zoho Flow account. From here you can revoke access to apps that are no longer needed, keeping your security posture clean and reducing the number of live OAuth grants associated with your account.
